Job summary

Flinders University is seeking an Administrative Assistant to support the CareSearch Group projects, including palliAGED (CSpA) and CSPP. The role covers meetings, travel arrangements, invoicing, reporting and project documentation.

The successful candidate will be highly organised with excellent written and verbal communication skills, capable of managing calendars and liaising with diverse stakeholders. Diploma-level qualification or equivalent is required.

Qualifications

  • Diploma-level qualification with relevant work experience or an equivalent combination of education and training.
  • Ability to manage mailbox, calendar, and general telephone queries.
  • Proficient in the full Microsoft Office Suite, including Excel.
  • Knowledge and experience of Basware, Spendvision and Technology One financial systems (Desirable).

Responsibilities

  • Maintain program databases, manage documentation and contribute to promotional and operational resources.
  • Processing and reconciling accounts for payment for the CareSearch projects.
  • Packaging online project orders and follow-up documentation for record keeping.
  • Liaising with internal and external stakeholders, including project partners, consumers, carers, clinicians and aged care providers.

About the Role

Reporting to the Project Manager (CareSearch Group), the Administrative Assistant will be responsible for providing administrative support, functions and processes to the CareSearch including palliAGED (CSpA) and CareSearch Partner Projects (CSPP). This includes organising meetings, workshops, travel arrangements, invoicing, reporting and project documentation.

  • Maintain program databases, manage documentation and contribute to the development of promotional and operational resources.
  • Processing and reconciling accounts for payment for the CSpA and CSPP projects in accordance with established Flinders University procedures.
  • Assisting with packaging online project orders and follow up documentation for record keeping. Liaising professionally with internal and external stakeholders, including project partners, consortium members, consumers, carers, clinicians and aged care providers.

About You

You are a highly organised and proactive professional with excellent written and verbal communication skills and strong interpersonal abilities. You build positive relationships and communicate confidently with a diverse range of internal and external stakeholders.

You bring strong organisational and administrative skills, with the ability to work collaboratively, manage competing priorities, solve problems and meet deadlines in a complex and fast-paced environment.

You will also demonstrate:

  • Completion of a diploma-level qualification with relevant work experience, or an equivalent combination of relevant experience, education and training.
  • Ability to manage mailbox, calendar, and general handling of telephone queries.
  • Computer and keyboard skills with extensive experience in using the full range of Microsoft Office Suite including Excel.
  • Knowledge and experience of Basware, Spendvision and Technology One financial systems (Desirable).
