Job summary

Flinders University in Bedford Park (Kaurna Country) is seeking a highly organised Administrative Assistant to support the CareSearch Group, providing administrative help for palliAGED (CSpA) and CSPP projects, including meetings, travel, invoicing, reporting and documentation.

The role requires a diploma-level qualification, strong MS Office skills (especially Excel), and the ability to liaise with diverse stakeholders while maintaining project databases and records.

Qualifications

  • Completion of a diploma-level qualification with relevant work experience, or an equivalent combination of relevant experience, education and training.
  • Ability to manage mailbox, calendar, and general handling of telephone queries.
  • Computer and keyboard skills with extensive experience in using the full range of Microsoft Office Suite including Excel.
  • Knowledge and experience of Basware, Spendvision and Technology One financial systems (Desirable).

Responsibilities

  • Provide administrative support, organise meetings and travel arrangements, invoicing, reporting and project documentation for CareSearch Group, including palliAGED (CSpA) and CSPP projects.
  • Maintain program databases, manage documentation and contribute to promotional and operational resources.
  • Process and reconcile accounts for payment for the CSpA and CSPP projects in line with university procedures.
  • Assist with packaging online project orders and follow up documentation for record keeping.
  • Liaise with internal and external stakeholders including project partners, consortium members, consumers, carers, clinicians and aged care providers.

Position Details Full-Time | Fixed term until 30 June 2030 Higher Education Officer Level 4| $76,140 - $82,119 p.a. Location: Bedford Park / Kaurna Country View

About the Role

Reporting to the Project Manager (CareSearch Group), the Administrative Assistant will be responsible for providing administrative support, functions and processes to the CareSearch including palliAGED (CSpA) and CareSearch Partner Projects (CSPP). This includes organising meetings, workshops, travel arrangements, invoicing, reporting and project documentation.

The role is also responsible for: Maintain program databases, manage documentation and contribute to the development of promotional and operational resources. Processing and reconciling accounts for payment for the CSpA and CSPP projects in accordance with established Flinders University procedures. Assisting with packaging online project orders and follow up documentation for record keeping. Liaising professionally with internal and external stakeholders, including project partners, consortium members, consumers, carers, clinicians and aged care providers.

You bring strong organisational and administrative skills, with the ability to work collaboratively, manage competing priorities, solve problems and meet deadlines in a complex and fast-paced environment.

You will also demonstrate:
