We Have Moxie is seeking a part-time Accounts Administrator & Works Coordinator in Brisbane. The role blends accounts, administration and compliance with service coordination support, typically 3 days per week from the Brisbane CBD office.
You will reconcile accounts, manage invoicing support, assist with reporting and maintain compliance records while liaising with the team and external accountants. Experience in trades or mechanical services is helpful.
An account that needs reconciling. A licence approaching expiry. A service report holding up an invoice. You notice the detail, follow it through and keep things running properly.
We Have Moxie is partnering with a growing Brisbane business to recruit a part-time Accounts Administrator & Works Coordinator, working three days a week from its Brisbane CBD office.

They are a commercial mechanical services business providing air conditioning and ventilation, fire and smoke control, and essential services maintenance across South East Queensland. Customers include commercial buildings, schools and aged care facilities.
As the business grows, this role will help keep its accounts accurate, compliance records current and service work moving.
Approximately 70% of your role will focus on accounts, business administration and compliance. The remaining 30% will support service scheduling and job coordination.
Reporting to the Operations Manager, you’ll work closely with the office team, technicians and external accountant or bookkeeper.
Processing accounts payable and receivable, including following up overdue accounts.
Completing bank, credit card and account reconciliations.

Assisting with month-end reporting and other accounts tasks.
Keeping insurance, fleet, staff training, licence and compliance records up to date.
Maintaining workplace health and safety documentation, including inductions and incident records.

Contributing to better systems, accurate records and practical process improvements.

You’ll also bring:
Strong organisation and attention to detail.
Confidence with Microsoft 365, particularly Outlook, Excel and Word.
Clear written and verbal communication.
A proactive approach to deadlines, missing information and competing priorities.
A helpful, practical attitude towards customers and colleagues.
Experience in trades, construction or mechanical services would be useful, as would familiarity with Tradify, simPRO, ServiceM8 or a comparable software. These are advantages rather than prerequisites.
A three-day working week.
A varied role combining accounts, administration, compliance and service support.
A small business that values its people.
The opportunity to take responsibility and contribute ideas as the business grows.
A Queen Street office close to public transport.
Remuneration based on your skills and experience, pro rata, plus superannuation.
