Job summary

Calvary Christian College Springwood and Carbrook is seeking a short-term accounting assistant to join the Finance Team at the Carbrook Campus. The role covers fixed asset stocktake, budgeting for 2026, and support across debtors, purchasing, and accounts payable.

You will work alongside a faith-based community, using accounting and payroll systems with MS Office 365 to ensure accurate records and timely reporting.

Qualifications

• Experience with accounting tasks and payroll processes.
• Strong computer literacy and accurate data entry.
• Ability to work independently and meet deadlines in a busy school environment.
• Desirable experience in education sector or not-for-profit settings.

Responsibilities

• Conduct fixed asset stocktake with physical verification.
• Prepare novation documents for supplier contracts.
• Update supplier and third-party details (Westpac PayWay, Trybooking, etc.).
• Prepare and upload the 2026 Budget into TASS system.
• Support debtors processes including receipting and direct debit forms.
• Undertake Uniform Shop margin analysis and stock top-ups for winter 2027.
• Provide accounts payable support and purchasing assistance.
• Analyze bus costs and review excursion charges.
• Participate in staff devotions and college worship sessions.

Role Overview

The College is seeking to fill a short term contract to provide accounting assistance to the Finance Team.

• You have a high level of computer literacy including the use of accounting and payroll systems and MS Office 365.

• You have excellent time management, an attention to detail and a capacity to plan and organise work under pressure.

Responsibilities

This role will be responsible for:

• Fixed Asset Stocktake

  • Conduct physical inspection.

  • Record identifying details.

  • Mark item with ID if not present (Sticker etc)

• Prepare novation documents for each supplier contract

• Process change of company details for third parties such as Westpac Payway, Trybooking, Consent to Go, Government agencies (VET Funding, Food Licence LCC, Dept Transport)

• Prepare and upload 2026 Budget into TASS

• Debtors Support

  • Debtors receipting

  • Direct Debit form processing

  • Obtain 2026 non tuition fees, apply fee increase and update records

  • Assist in invoicing

• Uniform Shop Support

  • Undertake profit margin analysis for uniform shop items.

  • Process price increase in Uniform Shop where necessary.

  • Analyse winter sales and stock holdings. Propose winter 2027 top up order.

  • Analyse current stock holdings and propose stock top up orders.

  • Prepare old uniforms for collection.

• Purchasing Support

• Accounts Payable Support

• Bus Cost Analysis

  • Update cost per trip analysis

  • Review accuracy of internal charge for excursions

• Participate in staff daily devotions and College worship sessions.

• Strong, vibrant Christian faith and commitment to mission.

• Ability to clearly communicate both verbally and in writing in a way that reflects our customer service mindset within our organisation.

• A capacity to use analytical skills, innovation and technology to ensure compliance with the College’s financial management frameworks.

• Current industry experience in delivering the responsibilities outlined above.
