Job summary

InterContinental Adelaide, part of IHG Hotels & Resorts, invites applications for a Group Reservations Agent to manage group bookings from post-contracting through post-stay reconciliation. You will work in reservations while collaborating with Sales, Revenue and Operations to ensure smooth end-to-end handling of group bookings and needs.

Your daily tasks involve managing room blocks, rates, cut-off dates, deposits, and timely rooming list uploads, while proactively mitigating attrition risks

Qualifications

• Experience in hotel reservations, group reservations, or group sales.
• Exceptional attention to detail and accuracy in data entry and financial processing.
• Strong written and verbal communication with multiple stakeholders.
• Proven ability to manage multiple priorities in a fast-paced environment.
• Exposure to a large or high-volume hotel environment and understanding of group revenue principles is advantageous.

Responsibilities

• Manage group bookings post-contract, ensuring accuracy and documenting changes with approvals.
• Manage room blocks, rates and cut-off dates in line with contracted terms.
• Monitor group pickup and proactively manage attrition risks; escalate as needed.
• Track, invoice, and allocate group deposits in line with policies and contracts.
• Manage group cancellations and reductions; ensure compliance with agreements.
• Coordinate receipt, review, and upload of rooming lists within agreed timelines.
• Liaise between departments for all group-related matters and present status in weekly meetings.
• Complete post-stay reconciliation and prepare invoices to ensure commissions are processed correctly.
• Resolve post-stay queries and discrepancies with Finance and Sales.

InterContinental Adelaide is looking for a Group Reservations Agent to manage group bookings post-contracting through to post stay reconciliation. This role will be based in reservations, but work closely with the Sales, Revenue and Operations teams to ensure all group bookings and group needs run smoothly from end to end. This role is important in protecting hotel revenue, managing room availability, and supporting efficient hotel operations.

Your Day to day:

• Manage group bookings post-contract, ensuring accuracy, documenting ongoing changes with approvals, and communicating to relevant stakeholders.
• Manage room blocks, rates and cut-off dates, in line with contracted terms.
• Monitor group pickup and proactively manage attrition risks, proactively escalating exposure to leaders as needed.
• Track, invoice, and allocate group deposits in line with hotel policies and contract terms.
• Manage group cancellations and reductions, ensuring compliance with contractual agreements.
• Coordinate the receipt, review, and accurate upload of rooming lists within agreed timelines.
• Act as the liaison between all departments for all group-related matters including but not limited to presenting in weekly meetings any status changes, group risks and upcoming operational considerations.
• Complete post‑stay reconciliation, ensuring accuracy, and preparing invoices in a timely manner to ensure commissions are processed correctly for travel agent and third‑parties.
• Resolve post‑stay queries and discrepancies in collaboration with Finance and Sales.

What we need from you:

• Exceptional attention to detail and accuracy, particularly in data entry and financial processing.
• Strong written and verbal communication skills with the ability to liaise with multiple stakeholders.
• Previous experience in hotel reservations, group reservations, or group sales role.
• Proven ability to manage multiple priorities simultaneously in a fast‑paced environment.
• Strong organisational and problem‑solving skills to proactively manage risks and priorities.
• Experience with hotel PMS systems such as Opera (or similar) is highly regarded.
• Exposure to a large or high‑volume hotel environment and an understanding of group revenue principles is advantageous.
• Be an Australian permanent resident or hold a valid Australian work visa with at least 12 months remaining at the time of application. This role requires a full time commitment, therefore applicants on Student Visas with restricted work rights are not eligible.
