Job summary

Swinburne University of Technology is seeking an Academic Support Officer at the Hawthorn campus. This full-time, fixed-term role supports Academic Department Chairs and staff, coordinating meetings, processes and compliance while driving efficient administration across the School of Engineering.

Working with the Manager, Academic Services, you’ll help sustain operations, build stakeholder relationships and review workflows to improve outcomes.

Qualifications

  • Experience providing high-level administrative support to senior leaders.
  • Ability to work with senior stakeholders and maintain confidentiality.
  • Strong organisational and time-management skills.
  • Excellent written and verbal communication abilities.
  • Proficient with Microsoft Office and database systems.

Responsibilities

  • Provide high-level administrative and secretariat support to Academic Department Chairs.
  • Coordinate meetings, correspondence and competing priorities.
  • Support academic staff with School processes and compliance.
  • Engage with sessional staff and manage related administration.
  • Build relationships across the University and streamline processes.
  • Review and improve administrative workflows for efficiency.

About the Role

Are you an organised, proactive professional who enjoys bringing people, processes and priorities together? Join us as an Academic Support Officer and provide trusted operational and administrative support to Academic Department Chairs and academic staff across the School of Engineering.



Working with the Manager, Academic Services, you’ll help keep academic operations running smoothly, support compliance with University and School processes, and identify opportunities to make the way we work more efficient and effective.



This is a varied role where no two days are quite the same. You’ll:




  • Provide high-level, confidential administrative and secretariat support to Academic Department Chairs.

  • Coordinate meetings, correspondence and competing priorities.

  • Support academic staff with School processes, procedures and compliance.

  • Play a key role in the administration and engagement of sessional staff.

  • Build strong relationships with academic and professional staff across the University.

  • Review and improve administrative processes to streamline the way we work.

Qualifications

Completion of a degree without subsequent relevant work experience; or completion of an associate diploma and subsequent relevant work experience; or an equivalent combination of relevant experience and/or education/training.
