AVILOO GmbH is opening its first Vienna office at the Austria Campus in Praterstern and seeks an Office Manager to run it part-time (20 hours over 4 days). You will coordinate space, people, and daily operations, while collaborating with the Wiener Neudorf team to keep standards aligned.

You will handle supplier relations, onboarding, events, travel and general admin, with on-site presence in Vienna. Fluency in German and good English, a proactive mindset, and comfort working independently are

• Regularly align processes with Wiener Neudorf Office Manager to share learnings and keep standards.

What you'll be working on

We are opening our first office in Vienna, at the Austria Campus in Praterstern, and we are looking for an Office Manager to help us run it effortlessly. This is a part-time position at 20 hours on 4 days a week. Until now, AVILOO has run out of a single location in Wiener Neudorf. You will help us open a second one and make sure it feels like AVILOO from day one.

You will work closely with our Office Manager in Wiener Neudorf so that both locations run on the same standards and share what works. Within the Vienna office, you coordinate everything: the space itself, the people in it, and everything that keeps daily life running smoothly.

• Setting up and running the office: You get the Vienna office ready and keep it that way, e.g. furniture, supplies, cleaning, deliveries, mail, and the building relationship with the Austria Campus etc.
• Suppliers and contracts: You source and manage local vendors and service providers, from catering and office supplies to IT equipment and building services, and you keep an eye on cost and quality.
• Onboarding new colleagues: You prepare workstations and welcome materials for new starters in Vienna, and you coordinate with HR and IT so every new hire has what they need on day one.
• Team culture and events: You organise small team lunches, celebrations, and internal events that give the Vienna office its own character while staying true to AVILOO.
• General administration: You handle day to day admin such as travel bookings, expense processing, incoming calls, and visitor coordination for the Vienna team.
• Staying aligned with Wiener Neudorf: You check in regularly with our Office Manager in Wiener Neudorf to align on processes, share what you learn from building something new, and flag anything that needs a decision from HQ.

What you bring

• Experience in office management, administration, facility coordination, or a similar support role.
• A proactive, hands-on approach. You are comfortable making decisions on your own, since much of the time you will be the only person in the Vienna office.
• Strong organizational skills and an eye for detail, from a well-stocked kitchen to a tidy supplier contract.
• A friendly, service-oriented manner. You are often the first face a visitor or new colleague sees.
• Fluent German and good English, since you will work with colleagues and partners across our locations.
• Flexibility and a willingness to pitch in on a wide range of tasks, big or small.
• You are based in or near Vienna and happy to be on site regularly.

• The minimum salary for this position is €2,547 gross per month for full-time, in accordance with the applicable Austrian collective agreement. Actual compensation is based on qualifications and experience and exceeds the collective agreement minimum.
