Art and Wellness Enterprises, LLC seeks a Visitor Experience Concierge to provide a welcoming, professional front desk presence at the Heartland Whole Health Institute on the Crystal Bridges Campus. You will support guests, staff, and vendors, manage visitor flow, tours, and scheduling while delivering outstanding service.

This on‑site role emphasizes strong communication, organization, and a hospitality mindset to ensure a positive campus experience.

Formación

  • High school diploma or equivalent.
  • 1–3 years of experience in visitor and/or guest experience, administrative, or customer service roles.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable using scheduling tools and visitor management systems.
  • Strong verbal and written communication skills.

  • Research and resolve guest concerns in a timely and courteous manner.
  • Maintain organized front desk operations, including guest check‑in, visitor logs, deliveries and call routing.

Job Title: Visitor Experience Concierge

About the Position

The Visitor Experience Concierge is responsible for providing a welcoming, professional, and efficient experience for guests, staff, and visitors at the Heartland Whole Health Institute (HWHI) building on the Crystal Bridges Campus for Art and Wellness. The role supports daily front desk operations, delivers exceptional customer service, and helps create a positive and memorable experience for everyone who visits the campus. The position builds relationships with guests and team members, provides outstanding service, and serves as a knowledgeable campus resource.

This role supports visitor engagement and ensures the smooth operation of front desk services, coordinating logistics for meetings and tours, providing administrative assistance, and maintaining a professional, organized, and hospitable environment.

Success requires exceptional customer service skills, strong communication and organizational abilities, commitment to positive experiences, the ability to build relationships, manage multiple priorities, exercise sound judgment, and adapt to changing needs while maintaining a professional and welcoming presence.

Essential Duties and Responsibilities
  • Serve as a welcoming and professional first point of contact for guests, vendors, and staff.
  • Deliver high‑quality customer service by responding promptly to inquiries, providing accurate information, and ensuring a positive experience for all visitors and colleagues.
  • Act as a knowledgeable resource on current and upcoming exhibitions, programs, events, and campus offerings. Proactively share information to enhance the guest experience.
  • Assist guests in navigating visit options and recommend appropriate solutions based on individual needs.
  • Stay up to date on campus policies, procedures, products, and systems to support guest interactions effectively.
  • Research and resolve guest concerns in a timely and courteous manner.
  • Work closely with internal stakeholders to prepare for and support guided and VIP tours for the Heartland Whole Health Institute building and the Alice L. Walton School of Medicine, ensuring all logistical components are planned and aligned with organizational standards and expectations.
  • Manage daily front desk operations, including guest check‑in, visitor logs, deliveries and delivery notifications, incoming phone calls, and accurate call routing.
  • Maintain an organized and clean front desk environment, ensuring hospitality materials and welcome information are current and fully stocked throughout the day.
  • Provide general administrative support such as calendar coordination, data entry, filing, briefing document creation, digital materials, and meeting logistics.
  • Coordinate the scheduling of conference rooms, internal spaces, and support internal meeting needs.
  • Communicate effectively with internal teams to ensure seamless coordination and guest support.
  • Adhere to security and confidentiality protocols in all visitor and staff interactions.
  • Maintain awareness of campus activities to answer questions and guide guests accordingly.
  • Assist internal stakeholders with visitor engagement efforts and special projects as assigned.
  • Perform other duties and responsibilities as assigned to support evolving organizational needs.
Qualifications and Requirements
  • High school diploma or equivalent.
  • 1–3 years of experience in visitor and/or guest experience, administrative, or customer service roles.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable using scheduling tools and visitor management systems.

Physical Demands and Work Environment

Physical Demands

The position requires utilizing a computer and a telephone for prolonged periods, good hand‑eye coordination, bending and stretching, and the physical stamina to lift and transport a minimum of 10 pounds. Visual acuity to review written materials is required.

Work Environment

Work is performed on‑site (Monday‑Friday, 8 a.m.–5 p.m.) in a professional, climate‑controlled office environment with standard office equipment. The role requires working in an open setting near colleagues with low to moderate noise levels. It involves regular interaction with both the public and internal team members professionally and courteously. Some travel, including occasional overnight trips, may be required. A flexible schedule may be necessary to accommodate business needs, including occasional evening and weekend work hours.
