Job summary

CrewBloom, Inc is seeking an ABA Case Coordinator to ensure seamless client-therapist scheduling, authorization management, and service continuity. This role sits at the heart of clinical operations and client services, driving outcomes while maintaining Medicaid compliance and workforce stability.

You will coordinate with therapists, intake, and billing teams, monitor authorizations, and maintain accurate records in Zoho and other EHR systems.

Qualifications

• Experience coordinating scheduling for multiple therapists and clients.
• Strong organizational and communication skills.
• Proficient with EHR/CRM platforms (Zoho experience is a plus).
• Attention to data accuracy and compliance.

Responsibilities

• Coordinate RBTs/BTs with clients by location and clinical fit.
• Build and oversee weekly and monthly therapist schedules.
• Resolve scheduling disruptions with same-day urgency.
• Monitor authorized hours to ensure Medicaid adherence.
• Maintain audit-ready records in Zoho and other EHR systems.
• Act as liaison for therapists on caseloads and logistics.
• Collaborate with BCBA supervisors to align with treatment plans.
• Communicate session updates to client families.
