Job summary

Hellmann Worldwide Logistics in Dubai seeks a detail-oriented warehouse data entry and stock controller. The role focuses on data entry, inventory accuracy, and coordinating with suppliers, customers, and internal teams to keep stock records precise.

You will manage receipts, dispatches, and documentation (goods receipt notes, packing lists, delivery notes), support health and safety and contribute to ongoing stock control and reporting to KPI stakeholders.

Responsibilities

• Proactive communication with customers, suppliers, transport companies and internal departments.
• Create and provide required documentation (goods receipt note, packing list, delivery note).
• Inventory entries receipted in the database and matched to shipments.
• Support planning, coordinating and monitoring receipt, order assembly and accurate dispatch of goods.
• Keep stock control systems up to date and ensure inventory accuracy.
• Data entry and report creation on a daily, weekly and monthly basis.
• Coordinate requirements with Team Leader / Supervisor on daily/weekly basis.
• Liaise with admin department or external vendors for damages, repairs, supplies.
• Carry out assignments by the team leader / supervisor.

Primary responsible for the data entry and inventory of all stock. Involves processing receipts, taking records and documenting the details of all orders. Organize staff inductions, manage occupational health and safety procedures and book for incoming deliveries. May also have to assist with general duties within the warehouse. Oversee the management of stock within an organization. This includes receiving, issuing and dispatching stock, and handling communication between freight companies and warehouse customers.

About The Job

• Proactive and appropriate communication via email, phone and in person with customers, suppliers, transport companies and internal departments.
• Create and provide required documentation (good receipt note, packing list, delivery note etc.)
• Ensuring workshop goods are accurately matched and receipted on the database.
• Ensure that all workshop goods or material discrepancies are reported to the Team Leader/Supervisor and support on following up with the relevant department.
• Support on planning, coordinating and monitoring the receipt, order assembly and accurate dispatch of goods.
• Keeping stock control systems up to date and ensuring inventory accuracy in line with efficient utilization of space.
• Ensure correct and accurate data entry and report creation on a daily, weekly and monthly basis (e.g. detailing performance against KPI, timesheets, claim)
• Active preparation and support on monthly billing and all other finance related topics (eg. Cash vouchers)
• Communicate with Team Leader / Supervisor on daily/weekly requirements/updates.
• Liaise with the administrational department or external vendors/supplies if required for any damages, repairs, supplies (eg. Forklift equipment, Printer, Labels)
• In addition to your specific job responsibilities, you may be called upon to carry out specific assignments by your team leader / supervisor.
