Role Context

The Supply and Inventory Planner is responsible for maintaining the right balance between spare parts availability, working capital, service performance, and inventory risk within Al-Futtaim Automotive 's Global Aftersales operations. The role manages purchasing, forecasting, stock health, supplier coordination, logistics processes, and system parameters while supporting a high-value inventory portfolio. Effective planning helps prevent stock-outs, control excess inventory, improve turnover, and ensure parts reach the business when required.

Key Responsibilities
  • Process daily, weekly, and monthly purchase orders according to approved planning cycles.
  • Ensure purchase orders are transmitted accurately to suppliers and confirmations are received.
  • Monitor supplier commitments and follow up to ensure dispatch within agreed lead times.
  • Track back orders and take timely action to reduce prolonged supply gaps.
  • Communicate forecast changes and revised demand requirements to suppliers.
  • Prepare purchasing budgets based on order schedules, forecasts, and business recommendations.
  • Perform risk-of-run-out analysis and place replenishment orders to protect service availability.
  • Plan and order spare parts for new vehicle models and upcoming market introductions.
  • Obtain procurement and inventory approvals in line with the approved delegation of authority.
  • Review inventory policies and recommended service-level targets regularly.
  • Monitor aged inventory and identify stock requiring corrective action.
  • Forecast provision requirements for slow-moving, obsolete, and at-risk stock.
  • Initiate dead-stock disposal processes and follow them through to completion.
  • Review excess and obsolete parts exposure and recommend actions to reduce working-capital impact.
  • Improve stock turnover while protecting required customer service levels.
  • Create Advance Shipping Notifications accurately and within required timelines using supplier invoice information.
  • Provide logistics teams with shipment data needed for inbound control and customs-clearance documentation.
  • Monitor freight, logistics, and related cost charges against agreed commercial terms.
  • Coordinate logistics-related payments and provide Finance with the required supporting reports.
  • Follow up with Finance teams to ensure timely settlement of supplier and logistics payments.
  • Arrange and renew Letters of Credit where required.
  • Register customs claims and coordinate applicable payments.
  • Support ESMA and RFID approval requirements for relevant shipments and products.
  • Declare cargo for insurance and maintain appropriate shipment records.
  • Develop dashboards that provide visibility into inventory, supply, logistics, and service-level performance.
  • Conduct kaizen initiatives and improvement projects aimed at reducing operational cost and process waste.
  • Recommend practical inventory-control actions based on data, trends, and operational risk.
  • Escalate supply, stock, or process exceptions when performance falls outside agreed controls.
  • Manage assigned projects to achieve required delivery dates and budget parameters.
  • Apply agile working methods where appropriate to improve responsiveness and execution.
  • Review system planning parameters continuously to improve stock availability and inventory efficiency.
  • Investigate system alerts relating to demand fluctuations, lead times, forecast changes, and supply risk.
  • Evaluate potential stock-out conditions and implement corrective planning actions.
  • Develop strong knowledge of applicable business processes and systems to improve planning productivity.
Ideal Profile
  • Bachelor 's or Master 's degree in Supply Chain Management, Industrial Engineering, or an equivalent discipline.
  • Approximately 5 years of relevant supply chain or inventory planning experience.
  • Automotive supply chain or aftersales parts planning experience is strongly preferred.
  • Strong understanding of inventory management principles and stock optimization techniques.
  • Experience managing purchasing, supplier follow-up, forecasting, and replenishment activities.
  • Practical knowledge of excess, obsolete, aged, and dead-stock management.
  • Ability to analyze service levels, stock availability, turnover, and inventory risk.
  • Familiarity with logistics coordination, inbound shipments, customs processes, and payment requirements.
  • Experience working with ERP systems, particularly SAP.
  • Advanced capability in Microsoft Excel and good working knowledge of Word, PowerPoint, and MS Project.
  • Able to develop structured management reporting packs and present findings to senior stakeholders.
  • Strong problem-solving capability with a process-improvement mindset.
  • Experience with kaizen or comparable continuous-improvement methodologies is advantageous.
  • Able to manage multiple supply and inventory priorities within demanding operational timelines.
  • Commercial awareness of working capital, inventory carrying cost, service levels, and operational efficiency.
