Overview

Job summary: To support the procurement team by managing day-to-day procurement tasks, ensuring that procurement activities are conducted efficiently, and contributing to the continuous improvement of procurement processes. Involves maintaining supplier relationships, ensuring compliance with procurement policies, and assisting in the optimization of procurement operations.

General Responsibilities
  • Policy, Procedures, Process and Systems
  • Ensure the compliance of organization’s policy, systems, processes, procedures, and controls in line with group delegation of authority policy so that all relevant procedural/legislative requirements are fulfilled while delivering a quality, cost-effective service in a consistent manner.
  • Reporting
  • Ensure that all reports are completed timely and comply with the business policies and standards.
  • Manage the preparation of periodical management reports and progress reports to keep the business senior management informed about the progress of various initiatives and to facilitate decision-making.
  • Comply with organization’s requirements in a timely manner.
Job Specific Responsibilities
  • Support the procurement team in processing purchase orders, tracking orders, and ensuring timely delivery of goods and services.
  • Communicate with vendors to obtain pricing, confirm orders, and resolve any discrepancies or issues in the procurement process.
  • Assist in maintaining and organizing procurement contracts, ensuring that all terms and conditions are accurately captured and easily accessible.
  • Ensure all procurement activities comply with internal procurement policies and regulatory requirements, including documentation and record-keeping.
  • Conduct basic market research to identify potential suppliers, analyze pricing trends, and evaluate alternative sourcing options.
  • Assist in identifying opportunities for cost savings by optimizing procurement activities and supplier selections.
  • Maintain the supplier database, ensuring that all supplier information is accurate and up to date.
  • Generate reports on procurement activities, including supplier performance, costs, and procurement cycle times.
  • Work with internal teams to ensure procurement needs are met in a timely and cost-effective manner.
  • Provide additional support for procurement-related tasks and projects as required by the procurement excellence team.
