We are looking for Proposal Executive with principal function is to focus on supporting the bidding process for new projects and contracts, ensuring we submit compelling and compliant proposals that win business. You will work closely with various stakeholders across the organization, including Business Development, Management and Design teams, to ensure we deliver high-quality bids on time and within budget. This role plays a pivotal part both in protecting and optimizing the commercial relationships, ensuring successful partnerships through meticulous contract management and risk mitigation.

What You’ll Do
  • Support the BD team with the full bid lifecycle:
  • Actively seek and identify relevant bids and RFPs aligned with company goals
  • Conduct thorough research on potential clients, understanding their needs, challenges, and preferred solutions
  • Prepare initial bid assessments, evaluating feasibility, win probability, and resource requirements
  • Gather information and requirements from internal teams
  • Develop and maintain project timelines and budgets
  • Track progress and manage deadlines effectively
  • Ensure all bid documentation is complete, accurate, and compliant
  • Reach out to Sub Consultants to prepare proposals for various projects
  • Manage the bid communication with Clients, consultants and others
  • Prepare bid content:
  • Research and understand client needs and specifications
  • Draft and edit sections of the proposal, ensuring clarity and conciseness
  • Collaborate with internal teams to gather content and address technical details
  • Proofread and edit all documentation for accuracy and consistency
  • Coordinate stakeholders:
  • Facilitate communication and collaboration between internal teams involved in the bid process
  • Manage expectations and resolve any conflicts efficiently
  • Obtain timely approvals and sign-offs on various bid documents
  • Support presentations and meetings:
  • Assist with creating presentations and materials for client meetings
  • Participate in client meetings as needed, providing technical or logistical support
  • Maintain compliance:
  • Ensure all bids adhere to client requirements, legal regulations, and company policies
  • Stay updated on changes in industry standards and best practices
  • Report and analyze data:
  • Track bid win/loss rates and identify areas for improvement
  • Generate reports and analyze data to gain insights into bid performance
  • Contribute to continuous improvement of the bid process

Other Responsibilities
  • Leading the project team and working in a team with other designers in all phases, from start to completion, of projects undertake.
  • Mentoring other designers on technical, operational, cost suitability and design detailing.
  • Identify and manage resources require for the project and constantly review and feedback to COO /SDD/DD/DA or the manager in charge.
  • Assist and work together as part of a team, creating and maintaining a harmonious work environment.
  • Be readily available always to deal with problems or concerns.
  • Ensure Company rules & procedures are followed in accordance with the Employee Handbook.
  • Ensure full use of the filing system and database.
  • Be punctual and on time to commence work.
  • Be responsible for ensuring that a professional, neat and tidy appearance is always portrayed, including leading by example through maintaining high standards of morale and appearance
What We’re Looking For
  • Bachelor's degree in interior design, Architecture, Business Administration, or a related field
  • Minimum 5 years of experience in a similar role
  • A wide knowledge of the design industry
  • Analytical and problem-solving skills with strong attention to detail
  • Excellent written and verbal communication skills, with the ability to tailor communication to diverse audiences
  • Proficiency in contract management software and data analysis tools
  • Ability to work independently and as part of a team in a fast-paced environment
  • Presentation skills with an appreciation of the demands of conflicting interests and of meeting both project and statutory requirements
  • A high level of commercial awareness along with an understanding of financial principles as they relate to business development
