Job summary

Kent Data Centres in Dubai is seeking a Proposal Design Coordinator to support the Work Winning team by designing and producing professional proposal documents from draft through final submission.

You will transform technical content into clear visuals, develop templates, CVs, references, and bid library materials, and create visuals using Adobe Creative Suite. This role requires precision and the ability to meet tight deadlines while collaborating with engineering and business development teams.

Qualifications

• Minimum 3–5 years' experience in proposal design or document production.
• Experience creating corporate documents or business development materials.
• Strong proficiency in Microsoft Word and PowerPoint with advanced formatting.
• Advanced skills in Adobe Creative Suite (InDesign, Illustrator, Photoshop).
• Ability to manage multiple priorities and meet tight deadlines.
• High attention to detail and presentation quality.
• Experience with engineering, consultancy, data centre or infrastructure environments.
• Familiarity with corporate brand guidelines.
• Experience using Canva or similar tools for visuals.

Responsibilities

• Support the Work Winning team with the design and production of proposal documents from draft to final submission.

• Develop and maintain high-quality proposal templates, including styles, headers/footers, graphics and document navigation.
• Create professional PowerPoint presentations for client presentations and capability decks.
• Format and renovate technical documents for bids.
• Maintain proposal templates and ensure consistent layouts and styles.
• Ensure all materials align with brand guidelines.
• Format CVs, project references and case studies.
• Support the bid library and reusable content development.
• Create visual content such as process flows, infographics and org charts.
• Use Adobe Creative Suite to produce graphics as needed.
• Review proposals for formatting consistency and visual accuracy.
• Manage multiple proposal tasks to meet deadlines.
• Identify improvements to templates and processes.

Job description

We are seeking a Proposal Design Coordinator to support the Work Winning team in producing professional, visually engaging proposals and business development materials.

The role will be responsible for the design and formatting of proposal documents, ensuring that submissions are professional and client focused.

The successful candidate will work closely with the Work Winning, Business Development, Client Engagement and technical teams to transform technical content into clear and visually engaging proposal documents. The role will also support the ongoing development and maintenance of proposal templates, CVs, project references and other bid library materials.

The role requires excellent attention to detail and the ability to work to tight deadlines in a fast paced bid environment.

Although experience within the data centre sector would be ideal, this is not essential.

SKILLS AND RESPONSIBILITIES:

• Support the Work Winning team with the design and production of proposal documents for key pursuits from initial draft through to final submission.
• Take technical and written proposal content and structure it into clear and visually engaging documents.
• Develop and maintain high-quality proposal document templates, including styles, headers/footers, graphics, images, contents pages and document navigation.
• Develop professional PowerPoint presentations for client presentations, capability presentations and other business development activities.
• Technical document preparation/renovation not limited to bids
• Maintain and improve proposal templates, ensuring layouts and styles remain consistent and easy for the Work Winning team to use.
• Ensure all proposal materials are aligned with company brand guidelines.
• Format and maintain CVs, project references, case studies and other standard proposal content.
• Support the development and organisation of the bid library and reusable proposal content.
• Create and develop visual content such as process flows, infographics, organisation charts and other proposal graphics.
• Use Adobe Creative Suite and other appropriate design tools to produce specialist graphics where required.
• Review completed proposals for formatting consistency, presentation quality, visual errors before submission.
• Ensure documents are correctly formatted and prepared for client submission, including final checks on page numbering, contents, references and graphics.
• Manage multiple proposal production tasks simultaneously and prioritise work according to bid deadlines and submission requirements.
• Proactively identify opportunities to improve the usability and efficiency of proposal templates and processes.
• Support the development of new proposal layouts and graphics to improve the overall quality and consistency of submissions.
• Maintain an organised library of approved templates, graphics and images.

• Professional, consistent and high quality proposal documents produced to agreed deadlines.
• Proposal templates and standard materials are maintained and consistently aligned with company brand standards.
• Technical information is presented in a way that is clear, easy to understand and visually engaging.
• CVs, project references, case studies and other proposal content are consistently formatted and presentation ready.
• Methodologies, processes and technical concepts are effectively communicated through appropriate diagrams and visual content.

YOUR EXPERIENCE:

Must have

• Minimum 3–5 years' experience in proposal design, document production, graphic design, marketing design or a similar role.
• Proven experience in proposal production, corporate documents or business development materials, preferably within engineering, consultancy, construction, data centres or infrastructure.
• Strong proficiency in Microsoft Word and PowerPoint, particularly advanced document formatting and page layout.
• Strong proficiency of Adobe Creative Suite, particularly InDesign, Illustrator and Photoshop.
• Ability to manage multiple priorities and work effectively under tight deadlines.
• Strong attention to detail and a high standard of document quality.
• Good communication and collaboration skills, with the ability to work with both creative and technical teams.
• Experience working within an engineering consultancy, data centre, construction or infrastructure environment.
• Experience working with established corporate brand guidelines.
• Experience with other design or visualisation tools such as Canva or similar platforms.
• Experience supporting business development activities and proposal production alongside marketing.
