Job summary

Position Overview The Project Coordinator - Retail Fit-Out role in Dubai, United Arab Emirates supports the planning, execution and monitoring of retail projects with defined schedules and deliverables. The position assists with new store openings, refurbishments and closures by coordinating vendors, documentation, approvals, site activities, budgets and internal stakeholders through to successful project completion and handover to the Operations Team.

Retail Project Coordination

• Assist the Projects team with planning and executing new store openings, refurbishments and closures.
• Track project schedules, milestones and completion requirements.
• Monitor material deliveries, vendor progress and site readiness.
• Support Project Managers in following up with landlords, contractors and regulatory authorities.
• Coordinate project activities to support timely completion and operational handover.

Cross-Functional Coordination

Work closely with Procurement, Operations, Visual Merchandising and IT teams to align project requirements and maintain progress against agreed timelines. Communicate project updates and dependencies clearly to relevant stakeholders and follow up on outstanding requirements that could affect delivery.

Site and Fit-Out Support

• Conduct basic site visits when required.
• Take site measurements and record relevant project information.
• Follow up on snagging and punch-list items.
• Monitor completion of identified defects or outstanding works.
• Support construction and fit-out oversight according to assigned project requirements.
• Help ensure completed projects are prepared for a seamless handover to the Operations Team.

Project Documentation and Reporting

Maintain organized and current project records, including drawings, permits, contracts and handover reports.

• Update project trackers regularly.
• Prepare periodic reports covering project status, delays and completion metrics.
• Maintain documentation required throughout project execution and handover.
• Support accurate communication of project progress to the Projects team.

Budget and Payment Support

• Assist with invoice processing, payment follow-up and budget tracking for assigned projects.
• Maintain appropriate records to support visibility of project expenditure and financial commitments.

Quality, Safety and Brand Standards

Support compliance with internal quality, safety and brand standards throughout project execution. Escalate identified issues to the relevant Project Manager and follow up on required corrective actions.

• 1-3 years of experience in retail project coordination, site administration or a support role within the construction or fit-out industry.
