Job summary

Confidential, a Dubai-based branding, packaging, motion graphics and post-production agency, seeks a proactive project coordinator to join the team. You will review briefs, brief the team clearly, keep projects moving and ensure work reaches clients on time and to standard.

The role requires an organized, responsive professional who takes ownership from brief to closure, maintains project trackers such as Notion, and follows up with clients daily.

Qualifications

• Employment visa, renewable after two years.
• Ability to manage multiple projects and meet tight deadlines.
• Excellent organization and communication skills.
• Experience coordinating with creative teams is a plus.

Responsibilities

• Review project briefs and request missing files or clarifications from the client within 1 hour.
• Prepare clear project briefs for the creative team and monitor progress twice daily.
• Review outputs and provide feedback within 15 minutes.
• Send approved files to clients immediately after internal approval.
• Follow up with clients daily until project closure, with intensified follow-up on urgent projects.
• Prepare proposals, quotations and invoices within 1 hour.
• Keep project folders clean and accessible to the team.
• Maintain the agency portfolio with every completed project.
• Track project status and deadlines using Notion or similar project tracker.

About the Client

A well-established Dubai-based branding, packaging, motion graphics and post-production agency. The agency works with FMCG, food and beverage, wellness and nutraceutical brands across the GCC, taking products from brand strategy through to launch.

About the Role

You will be the link between the client and the creative team. You will review briefs, brief the team clearly, keep every project moving, and make sure work reaches the client on time and to standard. The role suits someone who is organised, responsive and takes full ownership of a project from brief to closure.

Key Responsibilities

• Review project briefs and request missing files or clarifications from the client within 1 hour
• Share clear project briefs with the creative team and follow up on progress twice daily
