THC Consulting FZE is seeking an experienced Event Coordinator with a background in the pharmaceutical industry to plan, coordinate and execute events such as medical conferences, seminars, product launches and promotional activities.

The role requires close collaboration with Marketing and Medical Affairs to ensure objectives, timelines and deliverables are met, while managing venues, vendors, registrations and on-site logistics. Immediate availability preferred for a 3-month assignment.

Qualifications

• Minimum 3 years of professional experience in a pharmaceutical company.
• Experience coordinating pharmaceutical marketing events, medical conferences, scientific meetings, or healthcare professional engagement activities.

Responsabilités

• Plan, coordinate, and execute pharmaceutical industry events, including medical conferences, seminars, workshops, product launches, and promotional events.
• Work closely with Marketing and Medical Departments to understand event objectives, timelines, and deliverables.
• Coordinate event logistics, including venue selection, vendor management, catering, audiovisual equipment, transportation, and accommodation.
• Liaise with healthcare professionals, speakers, medical experts, vendors, event agencies, and other stakeholders involved in event execution.
• Manage event schedules, invitations, registrations, attendee lists, confirmations, and follow-up communications.
• Coordinate event materials, presentations, promotional collateral, signage, and other required resources with the relevant departments.
• Support the coordination of medical education programmes, scientific meetings, and healthcare professional engagement activities.
• Monitor event timelines, budgets, expenses, and supplier deliverables to ensure smooth execution.
• Ensure event arrangements and documentation follow company procedures and applicable pharmaceutical industry requirements.
• Provide on-site coordination during events to manage logistics, resolve issues, and ensure activities run according to plan.
• Prepare post-event reports, attendance records, expense summaries, and feedback reports.
• Maintain organised records of event-related documentation, vendor details, budgets, and communications.
