Position Overview Accor is seeking a People and Culture Coordinator in Dubai, United Arab Emirates to support day‑to‑day People and Culture operations at Fairmont The Palm. The role combines employee administration, records management, insurance coordination, internal communication, colleague engagement, back‑of‑house oversight, and support for learning and development activities. Role Responsibilities
- People and Culture Administration - Support the daily operations of the People and Culture department.
- Maintain the flow of documents and ensure records are handled in accordance with hotel policies.
- Prioritize telephone calls and in‑person visitors and schedule appointments when required.
- Handle office administration including correspondence, mail, photocopying, and office supply orders.
- Maintain confidential filing systems covering correspondence, policies, standards, regulations, and other departmental matters.
- File employee documents regularly and maintain accurate, current employee records.
- Process new joiners, status changes, and separations in Oasys.
- Update monthly People and Culture attendance records in Oasys.
- Process employee requests for salary, employment, and experience certificates.
- Schedule the training room when requested by other departments.
- Employee Support and Lifecycle Administration - Assist employees with exit checklists, clearances, exit interviews, and resignation procedures.
- Respond to employee requests relating to banking matters, cafeteria services, insurance, and other People and Culture support needs.
- Coordinate vacation ticket bookings with appointed agents.
- Manage Bienvenue Card orders and issuance.
- Prepare and distribute the monthly birthday calendar.
- Organize employee recognition for occasions such as weddings, birthdays, and newborn celebrations.
- Provide professional, friendly, and engaging service while remaining calm and courteous when responding to employee needs.
- Insurance Coordination - Add new employees to applicable group health insurance, Workmen 's Compensation, and life insurance plans.
- Remove departing employees from group insurance records.
- Submit insurance debit and credit notes to Finance and maintain the required trackers and follow‑up.
- Submit and follow up medical claims with the insurance broker.
- Process Workmen 's Compensation claims for workplace accidents.
- Maintain accurate supporting records for insurance‑related administration.
- Employee Engagement and Communication - Assist with People and Culture activities throughout the year, including town halls, sporting events, cafeteria activities, CSR initiatives, accommodation gatherings, and national day events.
- Support the timely posting of employee event photographs on appropriate internal and external communication channels.
- Coordinate decorations for People and Culture events and celebrations across the office, cafeteria, and back‑of‑house areas.
- Assist the People and Culture team with events, gatherings, orders, and other departmental activities.
- Support Learning and Development activities through trackers, posters, and recognition programs when required.
- Back‑of‑House and Cafeteria Coordination - Maintain the locker inventory and conduct spot checks to support appropriate hygiene standards.
- Monitor back‑of‑house areas including the cafeteria, First Aid room, corridors, washrooms, and lounges to ensure they remain clean and orderly.
- Assist with and lead quarterly pest control activities for lockers with support from the Hygiene Manager.
- Coordinate daily cafeteria operations with the catering company to support consistency of meals.
- Organize cafeteria audits and surveys.
- Lead the cafeteria committee and collect employee feedback for follow‑up.
Qualifications and Skills
- Previous administration or People and Culture experience is required.
- University or college degree in a related discipline is an asset.
- Computer literacy in Microsoft Windows applications is required.
- Knowledge of Oasys is an advantage.
- Excellent communication and organizational skills.
- Strong interpersonal and problem‑solving abilities.
