Job summary

Ounass in Dubai seeks a Merchandising Administration Assistant to provide essential admin and operational support across product, order and inventory data. You will work with Buying, Planning, Supply Chain and Content teams to ensure smooth flow from order placement to online launch.

The role requires 1–2 years in merchandising or buying administration, sharp attention to detail, strong organisational skills and fluency in English.

Qualifications

  • Bachelor’s degree in Fashion, Merchandising, Business Administration, Retail or related field would be an advantage.
  • 1–2 years of experience in merchandising administration, buying administration or retail operations, preferably in fashion or luxury retail.
  • Strong attention to detail and ability to maintain accurate records and identify data discrepancies.
  • Excellent organisational skills and the ability to manage multiple tasks, priorities and deadlines.
  • Good understanding of retail operations and product lifecycle.

Responsibilities

  • Maintain accurate product, purchase-order and inventory information across systems and trackers.
  • Update order trackers and provide regular status updates with Assistant Buyers and Merchandisers.
  • Follow up with suppliers for order confirmations, delivery timelines and documentation.
  • Coordinate with Warehouse and Logistics to monitor inbound shipments and resolve discrepancies.
  • Assist with processing of product receipts, cancellations and inventory adjustments.
  • Prepare weekly reports and stock updates for Merchandising and Buying teams.
  • Ensure product information (descriptions, pricing, sizing, colour, origin) is accurate for online launches.
  • Support supplier onboarding and maintenance of brand records.
  • Identify opportunities to improve processes and reporting.

Job Overview

The Merchandising Administration Assistant will provide essential administrative and operational support to the Merchandising team, helping maintain accurate product, order and inventory information across assigned categories. Working closely with Buying, Planning, Supply Chain, Warehouse, Finance and Content teams, the role will support the smooth flow of merchandise from order placement through to delivery and online launch. The successful candidate will be highly organised, detail-oriented and confident working in a fast-paced luxury fashion environment.

What You’ll Be Doing
  • Maintain accurate product, purchase-order and inventory information across relevant systems, trackers and databases.
  • Support the creation, maintenance and updating of purchase orders, ensuring all product details, quantities, prices and delivery dates are recorded correctly.
  • Work closely with Assistant Buyers, Buyers and Merchandisers to update order trackers and provide regular status updates.
  • Follow up with suppliers regarding order confirmations, delivery timelines, shipping documentation and outstanding information.
  • Coordinate with Warehouse and Logistics teams to monitor inbound shipments and investigate delivery discrepancies, shortages or damaged merchandise.
  • Support the processing of product receipts, cancellations, returns to vendors, transfers and other inventory adjustments.
  • Assist with the preparation of weekly reports, stock updates and administrative summaries for the Merchandising and Buying teams.
  • Maintain accurate records of product information, including descriptions, pricing, sizing, colour, composition and country-of-origin details.
  • Coordinate with Content, Production and Creative teams to ensure product information and assets are available for online launches.
  • Support the resolution of system, product or order-related issues by liaising with relevant internal teams and external partners.
  • Assist with supplier onboarding, vendor documentation and the maintenance of brand and supplier records.
  • Ensure all administrative tasks are completed accurately and within agreed timelines.
  • Identify opportunities to improve processes, reporting and the accuracy of merchandising information.
What We’re Looking For
  • A bachelor’s degree in Fashion, Merchandising, Business Administration, Retail or a related field would be an advantage.
  • 1–2 years of experience in merchandising administration, buying administration, retail operations or a similar role, preferably within fashion or luxury retail.
  • Strong attention to detail, with the ability to maintain accurate records and identify data discrepancies.
  • Excellent organisational skills, with the ability to manage multiple tasks, priorities and deadlines.
  • Good understanding of retail operations, product lifecycle and inventory-management processes.
  • Strong written and verbal communication skills.
  • Ability to build effective working relationships with suppliers and cross-functional stakeholders.
  • Strong analytical and problem-solving skills, with a proactive approach to resolving issues.
  • Proficiency in Microsoft Office, particularly Excel.
  • Experience using ERP, merchandising, inventory-management or order-processing systems would be an advantage.
  • Ability to work independently as well as collaboratively within a team.
  • Ability to perform effectively in a fast-paced, deadline-driven environment.
  • Proficiency in English.
  • An interest in luxury fashion, retail and product merchandising.
