Job summary

Emirates Group is hiring a Mailing Fulfilment Officer to manage the corporate mailing and production for the Skywards loyalty programme across UAE and international stations.

You will supervise a team, ensure accurate packaging, liaise with courier providers, control costs, and maintain ISO-compliant processes in Mailing and Fulfilment Centres.

Qualifications

• 5+ years experience in a similar field.
• Ability to understand technical specifications of printing and embossing machines.
• Able to work independently and make cost-effective decisions.
• Good command of English both written and spoken.
• Familiar with MS Word, MS Excel, PowerPoint and MS Access.
• Valid UAE Drivers License.

Responsibilities

• Plan, direct and control the network of Corporate mailing & production for Skywards programmes in UAE and Outstations.
• Supervise, organise and assemble packages, print tags and cards, and despatch items with couriers.
• Liaise with external service providers for timely and cost-effective despatch.
• Ensure administrative processes at Mailing and Fulfilment Centres meet ISO standards.
• Prepare monthly statistical reports and monitor budget/cost reports.
• Maintain premises and equipment, ensure repairs and safety, and keep areas clean.

Job description

Job Purpose

Emirates Group Facilities Management team supports our extensive commercial hotels and residential property portfolios. Their aim is to constantly improve customer satisfaction and happiness through dedicated and quality service.

As a Mailing Fulfilment Officer, you will be responsible to plan, direct and control the network of Corporate mailing & production of Customer Loyalty Programme (Skywards) related packages, letters, other mail shots for distribution within UAE and Outstations ensuring cost effectiveness of each delivery and customer satisfaction. This would involve supervision and organising the assembling of packages, printing of tags, cards and actual despatch of items produced, including liaising with external service providers for timely and cost-effective despatch. To ensure that all administrative processes at the Mailing and Fulfilment Centres are carried out in a smooth, effective, efficient and timely manner that meets service excellence governed by ISO standards.

In This Role, You Will

• Ensure that all agreed administrative policies, procedures and protocols in the Mailing and Fulfilment Centres are recorded and communicated to the staff and outside parties such as company appointed Courier Service providers including Government agencies, postal authorities UAE /Singapore /UK /Australia on a timely basis/ as and when required.
• Introducing quality checks in the packaging process to eliminate incorrect product packaging.
• Investigate, analyse and develop full-proof procedure in specific cases where there is error in card printing, assembling of collateral in conjunction with Technical Supervisor-FC.
• Dispatch by courier or mail and assist in ensuring correct customer information is updated in the CRIS system.
• Control ordering and stocking with internal departments such as P&L and other external suppliers to ensure cost effectiveness.
• Ensure all collateral fulfilment materials are available on a daily basis, and this would call upon storage of stock accordingly to the categories of items.
• Supervise, plan, organise and allocate the job functions to the team members and ensure all collateral fulfilment materials are available on a daily basis, this would call upon storage of stock accordingly to the categories of items.
• Assist Line Manager in the preparation and finalisation of Mailing and Fulfilment budget and constantly review the cost reports with a view to manage the budget effectively.
• Prepare monthly statistical reports of the jobs completed, tracking done and discrepancies in the workflow.
• Ensure adequate maintenance of premises and equipment, making sure that repairs are affected quickly, production safety standards met and that premises are kept clean and tidy at all times.

Qualification

• 12 years schooling or equivalent.
• Diploma in Production would be an advantage.

To be considered for this role, you must meet the below requirements:

• 5+ years experience in a similar field.

• Able to work independently.
• Ability to evaluate and make timely, cost-effective decisions.
• Good command of English written and spoken.
• In-depth knowledge of the products and effective skills to supervise a work unit.
• Familiar with MS Word, MS Excel, PowerPoint and MS Access.
• Valid UAE Drivers License.
