Embed seeks a detail-oriented Implementation Project Coordinator to support cross-functional delivery of SaaS projects in the UAE. You will coordinate requirements, timelines, and documentation across Sales, Development, CX, and Business Systems.

You will monitor milestones, follow up on actions, prepare user guides, and help drive process improvements that enhance client experience and project efficiency.

Qualifications

• Bachelor’s degree in Business Administration, Information Systems, Engineering, or a related field.
• Experience in SaaS, enterprise tech, or software development is an advantage.
• Strong organizational and time-management skills.
• Excellent written and verbal communication across teams.
• Detail-oriented with proactive task follow-up.
• Basic understanding of software implementation or system integrations.

Responsibilities

• Coordinate projects from initiation to completion, gathering requirements and documenting scope.

Position Summary

We are looking for a detail-oriented and proactive Implementation Project Coordinator to support the coordination and delivery of projects. In this role, you will coordinate efforts across multiple teams, ensuring alignment, efficiency, and successful delivery of key projects that support account growth and client success.

You will serve as a key coordination point between internal teams, helping to maintain clear communication, organize project documentation, monitor timelines, and follow up on outstanding actions. You will also support process improvements and help ensure that implementation projects meet business requirements and contribute to a positive client experience.

Key Responsibilities

This role focuses on coordinating implementation projects and supporting cross-functional execution to ensure smooth delivery, clear communication, and timely completion of project milestones.

Project Coordination

• Support projects from initiation to completion, including gathering requirements, documenting project scope, coordinating deliverables, and tracking approvals.
• Maintain project plans, timelines, status updates, meeting notes, and action items to ensure projects remain organized and on track.
• Follow up with stakeholders on outstanding tasks, identify potential delays or blockers, and elevate issues to the relevant project owners when necessary.

Cross-Functional Collaboration

• Coordinate communication and collaboration across teams to support the smooth execution of implementation projects.
• Work closely with internal teams, includingSales & Account Management,Development andBusiness Systems
• Arrange project meetings, document key discussions and decisions, and follow up on agreed action items.
• Help ensure stakeholders have the information and updates needed to complete their respective tasks.

Implementation Support & Process Improvement

• Support the implementation of tools, systems, and processes that improve project coordination and operational efficiency.
• Assist in documenting workflows, maintaining process guidelines, and identifying opportunities to streamline existing procedures.
• Coordinate automation initiatives across Sales, Customer Experience (CX), and internal business systems by tracking tasks and facilitating communication between stakeholders.
• Prepare user guides, training materials, and knowledge-sharing documentation to support Sales and Account Management teams in understanding relevant tools, processes, and technical capabilities.

Customer & Business support

• Support client discussions and implementation activities by coordinating information, preparing documentation, and following up on technical or operational requirements.
• Work with internal teams to track customer requirements and ensure relevant deliverables are communicated and followed through.
• Develop a working knowledge of Embed’s products, services, and capabilities to support implementation activities and respond to routine project-related queries.
• Assist with technical enablement and customer-related initiatives as needed

Continuous Learning & Innovation

• Stay ahead of industry trends, tools, and best practices to enhance project execution and strategic initiatives.
• Explore opportunities to leverage data-driven insights for improved forecasting, sales strategies, and customer engagement.

Required Skills and Experience

• Bachelor’s degree in Business Administration, Information Systems, Engineering, or a related field
• Experience working in a SaaS, enterprise technology, or software development environment is an advantage.
• Strong organizational and time-management skills, with the ability to coordinate multiple tasks and track deadlines effectively.
• Good written and verbal communication skills, with the ability to coordinate with stakeholders across different teams.
• Detail-oriented and proactive in following up on outstanding tasks, maintaining documentation, and identifying potential issues.
• Basic understanding of software implementation, system integrations, business processes, or technical project workflows is an advantage.
• Ability to learn new systems, tools, and technical concepts quickly.
