Job summary

IC is seeking an Events Coordinator in Dubai to support the planning and execution of global events, exhibitions, sponsorship activations, and client hospitality experiences.

The role requires 2-4 years of experience in events or marketing, strong organizational and project management skills, and ability to coordinate travel, venues, vendors, budgets, and post-event reporting. Travel may be international, and collaboration with regional teams is essential.

Qualifications

• 2-4 years' experience in event coordination, marketing, hospitality, or a similar role.

Responsibilities

• Prepare event proposals with vendor/venue comparisons and cost breakdowns.
• Coordinate planning and execution of global events, exhibitions, conferences, sponsorship activations, and client hospitality.
• Develop and maintain event timelines, project plans, and checklists for successful delivery.
• Liaise with venues, suppliers, production agencies, freight partners, and event organizers for logistics.
• Coordinate travel, accommodation, visas, and transportation for staff and guests.
• Manage event registrations, attendee lists, and supplier documentation.
• Coordinate production and delivery of booths, branding, signage, and promotional materials.
• Track budgets, raise purchase orders, process invoices, and assist with reconciliation.
• Collaborate with marketing, regional offices, and partners to meet event requirements and deadlines.
• Support on-site setup, troubleshooting, and pack-down.
• Maintain inventory of event assets and marketing materials.
• Prepare post-event reports with attendee numbers, leads, budgets, and learnings.
• Identify opportunities to improve event processes and supplier management.
