Responsible for managing the front office and providing secretarial and administrative support to the Senior Leadership Team. The role will ensure a professional reception, smooth daily office administration, effective coordination of meetings and appointments, and timely handling of correspondence and other administrative requirements.
Key Responsibilities
Front Office
- Welcome and assist visitors, clients and business partners professionally.
- Manage incoming calls, emails and general enquiries.
- Coordinate visitor appointments and meeting room bookings.
- Receive and distribute correspondence and courier deliveries.
- Maintain a professional and organized reception area.
- Manage calendars, appointments and meetings for senior management.
- Arrange meetings, prepare agendas, documents and presentations as required.
- Coordinate travel arrangements, accommodation and transportation when required.
- Prepare and manage confidential correspondence and documents.
- Provide general administrative and coordination support to the Senior Leadership Team.
Office Management
- Manage day-to-day office administration and facilities.
- Monitor office supplies, stationery and pantry requirements.
- Coordinate office maintenance, repairs and service providers.
- Liaise with building management, suppliers and other external parties.
- Maintain office records, documents and administrative files.
- Support company meetings, events and other office activities.
- Ensure the office remains organized, professional and well maintained.
Requirements
- Diploma or equivalent qualification in any discipline.
- Minimum 3–5 years of experience in administration, executive secretarial, front office or office management roles.
- Good communication and interpersonal skills.
- Strong organizational and time-management skills.
- Good knowledge of Microsoft Office, particularly Word, Excel, PowerPoint and Outlook.
- Professional, discreet and able to handle confidential information.
- Ability to manage multiple tasks and work with senior management.
