Job summary

Secret Gardens LLC in Dubai is seeking a Fleet Coordinator to allocate drivers and vehicles to diverse projects, coordinate schedules, and ensure efficient daily operations of the fleet.

You will manage registrations, insurance, and fuel accounts, coordinate maintenance, inspections, and regulatory compliance, and supervise drivers while maintaining accurate records and reports.

Qualifications

• 3–5 years of experience in fleet coordination or a similar role.
• Experience allocating staff across multiple projects or sites is highly preferred.
• Experience in landscaping, construction, facilities management, or a similar project-based company is an advantage.
• Strong experience coordinating staff schedules, vehicle assignments, and daily transportation requirements.
• Knowledge of UAE vehicle documentation, including Mulkiya, insurance, Salik, Darb, and fuel accounts.
• Experience coordinating vehicle maintenance, servicing, and inspections.
• Strong organizational, communication, and problem-solving skills.
• Proficiency in Microsoft Excel and daily reporting.
• Valid UAE driving licence is required.

Responsibilities

• Allocate drivers and vehicles to different projects according to operational requirements.
• Prepare and coordinate driver schedules, duty assignments, and transportation requirements.
• Oversee the daily operation and utilization of company vehicles, including cars, vans, and buses.
• Manage vehicle registrations, Mulkiya renewals, insurance, and other vehicle-related documentation.
• Monitor and manage Salik, Darb, ADNOC fuel accounts, and other vehicle-related expenses.
• Coordinate vehicle servicing, preventive maintenance, repairs, and periodic inspections.
• Conduct regular vehicle inspections to ensure roadworthiness, safety, and UAE regulation compliance.
• Monitor fuel consumption, mileage, vehicle condition, and maintenance records.
• Coordinate with garages, suppliers, insurance providers, and relevant authorities.
• Track vehicle availability and ensure vehicles are assigned and used efficiently.
• Supervise drivers and ensure compliance with company policies, traffic regulations, and safety procedures.
• Maintain accurate fleet records, schedules, and expense reports.
• Monitor fleet operating costs and identify opportunities to reduce expenses.
• Report vehicle breakdowns, accidents, maintenance issues, and operational concerns to management.
• Ensure all vehicles are clean, safe, properly maintained, and ready for daily operations.
