Job summary

Al-Futtaim in Dubai seeks an Executive Assistant to the Managing Director. You will be a trusted partner, manage priorities, calendar, communications, governance activities, and key initiatives to keep decisions informed and the office running smoothly.

The role requires exceptional organization, discretion, and professional judgment; you will prepare board packs, handle sensitive information, and represent the MD with senior stakeholders.

Qualifications

  • Bachelor's degree in Business Administration or related discipline.
  • 5 to 8 years' experience supporting C-suite executives or senior leadership teams.
  • Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Word, Teams).
  • Experience managing complex calendars, executive communications, travel arrangements, governance processes.
  • UAE or wider GCC experience preferred.

Responsibilities

  • Manage the Managing Director's calendar and priorities, avoiding scheduling conflicts.
  • Prepare and coordinate executive correspondence, presentations and stakeholder communications with high accuracy.
  • Support leadership meetings, board reviews and business updates with agendas, minutes and action tracking.
  • Track executive action items and drive them to completion within deadlines.
  • Build strong relationships with internal and external stakeholders and respond promptly.
  • Handle sensitive business information securely and with confidentiality.
  • Produce timely executive reports, dashboards, presentations and briefing materials.
  • Keep the MD's office running smoothly through proactive planning and prioritisation.

Overview Of The Role:

As Executive Assistant to the Managing Director, you will be a trusted partner at the centre of the business, providing senior executive and administrative support. You will manage the Managing Director's priorities, calendar, communications, governance activities and key business initiatives, so that decisions are well informed, the office runs efficiently and strategic objectives are delivered. You will do well in this role if you are highly organised, think ahead and can juggle competing demands without losing sight of what matters most. Sound business judgement, polished communication and complete discretion will be part of your everyday work, whether you are preparing a board pack, handling sensitive information or representing the Managing Director with senior stakeholders.

What You Will Do:
  • Manage the Managing Director's calendar and priorities, coordinating meetings, reviews and business commitments without scheduling conflicts
  • Prepare and coordinate executive correspondence, presentations and stakeholder communications to a consistently high standard of accuracy and professionalism
  • Support leadership meetings, board reviews and business updates, delivering agendas, materials, minutes and action tracking on time
  • Track executive action items and follow them through to completion within agreed deadlines
  • Build strong working relationships with internal and external stakeholders, responding promptly and keeping satisfaction high
  • Handle sensitive business information securely and in full compliance with confidentiality requirements
  • Produce accurate, timely executive reports, dashboards, presentations and briefing materials for the leadership team
  • Keep the Managing Director's office running smoothly day to day through proactive planning, coordination, problem-solving and prioritisation

What Qualifies You For The Role:
  • Bachelor's degree in Business Administration, Management, Communications or a related discipline
  • 5 to 8 years' experience supporting C-suite executives, Managing Directors, CEOs or senior leadership teams, ideally within a multinational or matrixed organisation
  • Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Word and Teams), with a strong understanding of executive office management and business governance
  • Experience managing complex calendars, executive communications, travel arrangements, leadership meetings and governance processes
  • UAE or wider GCC experience preferred
