Job description
Job Purpose

To provide high-level administrative and strategic support to the GM, ensuring efficient management of the executive office, coordination of key initiatives, and facilitation of internal and external communications.

Key Responsibilities

Executive Support

  • Manage the GM’s calendar, schedule meetings, and coordinate travel arrangements.
  • Prepare and organize materials for meetings, presentations, and reports.
  • Handle confidential correspondence and communications on behalf of the GM.
  • Act as a gatekeeper and liaison between the GM and internal/external stakeholders.

Office & Project Coordination

  • Track and follow up on strategic initiatives and action items from executive meetings.
  • Assist in preparing board documents, executive summaries, and briefing notes.
  • Coordinate cross-functional projects and ensure timely delivery of outcomes.
  • Maintain organized filing systems and ensure confidentiality of documents.
  • Prepare the file for relevant stakeholder’s signatory and keep track of it.

Communication & Relationship Management

  • Draft professional emails, memos, and communications for the GM.
  • Build strong relationships with senior leadership, clients, and partners.

Administrative Excellence

  • Monitor and manage budgets, expenses, and procurement for the GM office.
  • Support event planning and logistics for executive-level engagements.
  • Ensure compliance with company policies and procedures.

Qualifications & Experience:

  • Bachelor’s degree in business administration, Management, or related field.
  • Minimum 3-5 years of experience in executive support, preferably in a corporate or multinational environment.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and digital collaboration tools.
  • Discretion, professionalism, and a proactive attitude.

  • High emotional intelligence and interpersonal skills.
  • Strong problem-solving and decision-making capabilities.
  • Fluent in English; Arabic is a plus.
