Job summary

DubaiHoldingAssetManagement is seeking an Assistant Manager - Leasing to support retail leasing operations across a portfolio of leading destinations. The role involves budgeting input, lease administration, and coordinating with legal and collections to ensure timely processes and approvals.

The candidate will source tenants, negotiate deals, manage document workflow, and prepare regular performance reports for senior leadership.

Qualifications

• Bachelor’s degree in Business Administration/Marketing or related field.
• Thorough knowledge of retail market/trends/intelligence.

Responsibilities

• Assist in preparation of budgets by providing input on vacant units, timelines, potential terminations, non-renewals.
• Coordinate with collections for rent, deposits and leasing fees to ensure payments are on time.
• Perform general administrative duties such as ensuring documents are signed in a timely fashion and setting up new files.
• Support the Head, Retail Leasing and other lines to ensure proposals comply with guidelines, budgets and approvals.
• Coordinate with Legal for contract templates to standardize leasing documents within federal law.
• Ensure lease contracts are tracked and provide supporting documentation for new leases and renewals.
• Source prospective tenants and generate new lease leads and negotiate deals from inception to execution.
• Handle client lease files and maintain up-to-date records.
• Maintain lease document management system with all new leasing deals.
• Prepare timely reports for senior management review and analysis.
• Prepare memos and RAFs for case justification and management approval.
• Maintain accurate sales/ inventory data and participate in lease agreement preparation.
• Develop and manage client relationships to exceed service delivery expectations.
• Prepare regular reports detailing property status and performance with lease negotiation recommendations.
• Assist Senior Leasing Manager in developing tenant/customer strategies via feedback.
• Make follow-up calls to tenants who have not renewed.
• Conduct market analyses on leasing trends and report to management.
• Conduct presentations and site visits for prospective tenants to promote DHAM retail projects.

Education

• Assistinpreparationofbudgetsbyprovidingdueinputsonvariousfactorsincludingvacantunits,timelines,potentialterminations,non-renewalsetc.
• Coordinatewiththecollectionsteamforcollectionofrents,depositsandleasingfeestoensurepaymentsaremadeaccuratelyontime.
• Performgeneraladministrativedutiessuchasensuringdocumentsaresignedinatimelyfashion,settingupnewfiles,preparingroutinecorrespondence,etc.
• SupporttheHead,RetailLeasingandotherlinedepartmentstoensurethatallproposalsfornewtenantscomplywithcompanyguidelines,budgetsandhavereceivedappropriateapprovals.
• CoordinatewiththeLegaldepartmentforpreparationoftheancientcontractstemplatesandformstoensurestandardizationofleasingdocumentswithintheframeworkofthefederallaw.
• Ensureleasecontractsareeffectivelytracked,producethesupportingdocumentationfornewleasesandleaserenewals,compileleasesummariesandliaisewithclientstoclarifyleasefortimelyapprovals.
• Sourceprospectivetenantsandgeneratenewleasingleadsandnegotiatequalifieddealsfrominceptiontofinalexecutionincludingsubmissionforreviewtotheleasingcommittee.
• Handleclientphysicalanddatabaseleasefilestoensurethattheleasefilescontainaccurateandup-to-daterecords.
