Job Summary:

This role is ideal for an organized, proactive, and detail-oriented individual looking to start a career in logistics and supply chain management. The primary responsibility will be to ensure seamless operational initiation of new business by accurately translating commercial agreements into the Transport Management System (TMS) and managing the subsequent follow-up process with both internal and external stakeholders.

Key Responsibilities:

Commercial & Client Engagement

  • Liaison: Act as the main point of contact between the Freight Operations team and the Commercial/Sales teams to ensure clear and timely communication regarding new business, client requirements, and service updates.
  • Order Clarification: Proactively engage with the Commercial teams to gather all necessary details, documentation, and specific service instructions required to execute a client's transport request.
  • Client Follow-up: Communicate with clients, under the direction of the Commercial team, to obtain outstanding information, confirm booking details, and provide status updates on order initiation.
  • Business Follow-up: Assist the Commercial team in tracking ongoing and potential business opportunities, providing operational support, and escalating any client issues to ensure customer satisfaction.

Operational & TMS Management

  • Order Creation: Accurately and promptly create new transport Orders and Shipments within the Transport Management System (TMS) based on confirmed commercial agreements and client instructions.
  • Data Entry: Ensure all relevant data—including pricing, routes, delivery timelines, vehicle requirements, and special handling instructions—are correctly input into the TMS.
  • Documentation: Organize, verify, and file all necessary transport documentation, ensuring compliance with company procedures and regulatory standards.
  • Issue Resolution: Identify and flag any discrepancies between commercial agreements and operational feasibility, coordinating with relevant teams to find solutions before order processing.
Required Skills & Criteria:
  • Education: Graduate Diploma or equivalent; a degree or diploma in Logistics, Supply Chain, Business Administration, or a related field is a plus.
  • Experience: 2+ years of experience in an administrative, coordination, or customer service role, preferably within the logistics or transportation industry.
  • Communication: Excellent verbal and written communication skills
  • Tech Savvy: Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
