Job summary

Viya, part of wasl Hospitality & Leisure, seeks a BUYER in Procurement to secure quality goods and services for the Club at the best price. You will handle PR/RFP/RFI, evaluate suppliers, and generate POs using the ERP system.

The role requires 2–3 years in a similar position, MS Office/ERP proficiency, and strong negotiation and documentation skills; you will collaborate with cross-functional teams to ensure cost-efficient procurement and audit-ready records.

Qualifications

• Senior secondary certificate, diploma or equivalent.
• Bachelor’s degree preferred.
• Good knowledge of purchase operations.
• 2–3 years’ experience in a similar position.
• Proficiency in MS Office and ERP systems.
• Strong supplier evaluation, negotiation and communication skills.

Responsibilities

• Receive and verify PRs, RFPS and RFIs with required specs and approvals.
• Identify and evaluate suppliers based on price, quality, lead time and compliance.
• Prepare price comparison sheets and support negotiations.
• Coordinate approvals on quotations and supplier proposals.
• Generate POs using ERP or manually when needed and ensure accuracy.
• Dispatch approved POs to suppliers and confirm receipt.
• Monitor open POs and resolve supplier issues.
• Maintain audit-ready procurement records and documentation.
• Hold regular coordination meetings to align on procurement plans.

Purpose and Scope of Position:

To ensure that quality goods and services for the Club are purchased at the best possible price.

Main Duties:

1. 1. Receive and verify Purchase Requests (PR), Requests for Proposals (RFP), and Requests for Information (RFI), ensuring all required specifications and approvals are in place.
2. 2. Identify and evaluate potential suppliers based on price, quality, delivery lead time, and compliance with specifications.
3. 3. Prepare comprehensive price comparison sheets, Negotiation & ensuring transparency and alignment with procurement strategy.
4. 4. Liaise with the concerned department to secure necessary approvals on selected quotations and supplier proposals.
5. 5. Generate Purchase Orders (POs) using the ERP system or manually when required, ensuring accuracy and adherence to procurement policies.
6. 6. Dispatch approved POs to suppliers via email / system generated and confirm receipt.
7. 7. Monitor and follow up on open Purchase Orders to ensure timely delivery and resolve any supplier issues.
8. 8. Generate and submit quarterly reports on pending Purchase Orders and outstanding Purchase Requests for review and action planning.
9. 9. Maintain organized records of quotations, memos, correspondence, Purchase Orders, and related procurement documentation for audit readiness and tracking.
10. 10. Conduct regular coordination meetings with relevant departments to resolve issues, gather feedback, and align on upcoming procurement plans.

Ancillary Duties

• Participate in continuous improvement initiatives and departmental projects aimed at enhancing procurement processes and cost efficiency.
• Represent the Procurement Department in organizational committees (e.g., Staff Committee, Environmental/Green Team, Food & Beverage Committee, Sports Committee).
• Undergo training for emergency roles such as Fire Marshal or First Aider as part of the Club’s safety preparedness efforts.

• Demonstrate a clear understanding of Dubai Golf’s Mission, Vision, and Values.
• Apply the 4 Service Steps consistently in interactions with internal stakeholders and external suppliers to ensure service excellence.

4. IT Security Awareness:

• a) Read, Understand and comply with all applicable Information Security Policies and Procedures of wasl DG.
• b) Co-operate, co-ordinate and share information with Internal/External Audit teams as appropriate and applicable.
• c) Attend Information Security Awareness sessions conducted by the wasl IT Department.
• d) All Information Security breaches, events, weaknesses, incidents (actual or suspected breaches) shall be immediately reported to the IT Service Desk.
