Job summary

AECOM Middle East Ltd in Dubai is seeking an Assistant Project Manager for Hospitality Design to support pre-contract delivery of hospitality, building design, and mixed-use developments. Qualifications

  • Three years of experience as Assistant Project Manager, Project Coordinator, or similar.
  • Experience in architecture, building engineering, design consultancy, or related built-environment setting.
  • Sound understanding of hospitality projects and their operational requirements.
  • Ability to manage multiple documents, deadlines, stakeholder requests, and follow-up actions simultaneously.
  • Strong written communication and documentation skills.

Responsibilities

  • Coordinate pre-contract activities from initial setup through contract preparation.
  • Organize vendor proposals, service agreements, contractual documentation, project correspondence, and supporting records.
  • Assist senior project managers in developing project briefs with objectives, scope, requirements, and deliverables.
  • Support preparation and maintenance of project timelines, action schedules, and resource allocation plans.
  • Gather technical and commercial information from internal departments, consultants, suppliers, and external vendors.
  • Clarify outstanding requirements with stakeholders to prevent gaps in project initiation.
  • Maintain structured project files and databases for easy retrieval of pre-contract information.
  • Track project documentation and ensure key records are maintained throughout the pre-contract process.
  • Assist with reviewing vendor submissions and developing comparative assessments.
  • Monitor pre-contract milestones, submissions, approvals, and outstanding actions against timelines.
  • Follow up with vendors and stakeholders where information or deliverables are overdue.
  • Prepare meeting agendas and organize information for productive project discussions.
  • Record meeting minutes, decisions, responsibilities, and follow-up actions.
  • Compile concise project status reports for senior managers and stakeholders.
  • Identify emerging programme, documentation, vendor, scope, or coordination risks and escalate as needed.
  • Help maintain project risk and action tracking during the pre-contract stage.
  • Adapt templates, checklists, and coordination documents to hospitality developments.
