Job summary

AECOM in Dubai seeks an Assistant Project Manager to provide essential support to the Buildings Design practice during pre-contract activities. You will coordinate documentation, track milestones, and work with internal stakeholders and vendors to ensure smooth project initiation in hospitality-focused projects.

Ideal candidates bring 3+ years in project coordination or asst PM, with experience in architecture or building engineering and familiarity with hospitality requirements.

Qualifications

• 3+ years of experience in project coordinator or assistant project manager capacity
• Experience within architecture or building engineering
• Strong knowledge of the hospitality industry and its operational requirements
• Experience in mixed use developments and hospitality projects is beneficial.

Responsibilities

• Coordinate and organize documentation, including vendor proposals, contracts, and service agreements
• Assist in the preparation of project briefs, timelines, and resource allocation plans
• Communicate with internal departments and external vendors to gather necessary information and clarify project requirements
• Maintain organized project files and databases, ensuring all pre-contract materials are properly documented and easily accessible
• Support the senior project manager in analyzing vendor proposals and preparing comparative assessments
• Track and monitor pre-contract milestones and deliverables to ensure timely project progression
• Prepare meeting agendas, minutes, and status reports for project stakeholders
• Identify and escalation potential risks or issues during the pre-contract phase
• Assist in customizing project templates and checklists specific to hospitality requirements
• Coordinate site visits and inspections as needed during the pre-contract phase
• Manage administrative tasks including scheduling, correspondence, and vendor follow-ups
