Job description

\"When you work in Hawaii, in addition to learning about the functional aspects of running a hotel — like the proper way to make a bed or how to best handle luggage — it’s critically important to understand Hawaiian culture and the spirit of ‘ohana, or ‘family.’ When opening the first Andaz property in Hawaii, our team participated in Hawaiian culture training to help us understand what ‘ohana truly means. \"

This role is responsible for developing wedding and social event business, converting enquiries into profitable bookings, and managing each celebration from confirmation through completion. The role combines sales, personalized planning, client relationship management, and operational coordination to deliver memorable experiences aligned with the property’s luxury positioning and service standards.

Main Duties:

  • Develop strategies to grow weddings, destination weddings, and social events while achieving assigned banquet, catering, accommodation, and overall revenue targets.
  • Handle enquiries across all channels, converting prospective business through timely follow-up, personalized recommendations, and a consultative sales approach.
  • Build strong relationships with couples, families, wedding planners, destination wedding specialists, and social event organizers to generate new, repeat, and referral business.
  • Conduct site inspections, venue presentations, virtual tours, menu tastings, and planning consultations to showcase the property and understand client expectations.
  • Prepare professional proposals, quotations, presentations, and contracts aligned with client requirements, commercial objectives, and established policies.
  • Maximize revenue and profitability through venue optimization and the strategic upselling of menus, accommodation, venue enhancements, and additional guest experiences.
  • Manage high-value, complex, and VIP weddings from confirmation through execution, acting as the primary trusted advisor throughout the planning journey.
  • Create and maintain accurate Banquet Event Orders, timelines, layouts, rooming lists, group resumes, checklists, and operational instructions within required deadlines.
  • Coordinate closely with Culinary, Banquets, Rooms, Reservations, Housekeeping, Spa, Engineering, Florist, and other departments to ensure seamless event delivery.
  • Manage destination wedding requirements, including guest room blocks, airport transfers, VIP arrangements, itineraries, arrival logistics, and hospitality experiences.
  • Lead internal briefings and pre-event meetings to ensure all client expectations, event specifications, and operational responsibilities are clearly communicated.
  • Monitor deposits, payment schedules, contractual commitments, event profitability, booking pace, production, and wedding revenue forecasts.
  • Work closely with Marketing to develop wedding campaigns, promotional offers, and initiatives that generate demand during need periods and strengthen market positioning.
  • Maintain accurate client profiles, sales activities, contracts, and event information within CRM, Envision, Opera, and relevant lead-tracking systems.
  • Maintain visibility during key weddings, resolve concerns promptly, gather post-event feedback, and identify opportunities for referrals, anniversaries, and future celebrations.
Qualifications
  • Bachelor’s degree or diploma in Hospitality Management, Events Management, Sales, Business Administration, or a related discipline.
  • Minimum 3–4 years of relevant experience in wedding sales, social events, catering sales, or event planning, preferably within a luxury hospitality environment.
  • Proven ability to convert enquiries, achieve revenue targets, manage high-value weddings, and maximize upselling and profitability opportunities.
  • Excellent communication, presentation, negotiation, and relationship-management skills, with the ability to engage confidently with couples, families, wedding planners, and luxury clientele.
  • Strong organizational and planning skills, with exceptional attention to detail and the ability to manage multiple weddings, priorities, and deadlines simultaneously.
  • Proficiency in Microsoft Office and hotel sales or event-management systems; experience with Opera, Envision, CRM platforms, or similar systems is preferred.
