Four Seasons Hotel in Dubai is seeking a Guest Relations/Administrative coordinator to manage VIP bookings, arrivals, and personalised guest services. You will liaise with multiple hotel departments to ensure flawless execution of guest preferences and requirements, while maintaining meticulous records and confidential information.
The role requires strong English communication, proficiency in Opera PMS and Microsoft Office, and a proven ability to multitask in a fast-paced luxury hospitality
Coordinate reservations, bookings, and special arrangements for Elite, VIP, and special guests.
Assist in the preparation and coordination of guest arrivals, stay details, and departures.
Communicate guest preferences, requests, and special requirements to the relevant departments and follow up to support timely execution.
Monitor guest arrangements and proactively assist in resolving issues to help ensure a smooth and memorable experience.
Maintain accurate records of guest preferences and special arrangements.
Coordinate closely with the Guest Experience Team, Front Office, Housekeeping, Food & Beverage, Transportation, and other departments involved in the guest journey.
Follow up on VIP room preparations, amenities, reservations, transportation, and other personalised services.
Assist in ensuring all departments are aligned on guest requirements and expectations.
Support effective communication between the Executive Office and hotel operations regarding guest-related matters.
Prepare guest information, correspondence, reports, and documentation.
Handle confidential information with professionalism and discretion.
Provide occasional support for Business Center operations and guest requests when needed and assist with basic administrative tasks related to Business Center services.
Proficiency in Opera PMS and Microsoft Office applications.
Previous experience in administration, hospitality, guest services, or Front Office operations is an advantage.
Strong organisational and multitasking abilities.
Excellent interpersonal and communication skills. Fluency in English.
High level of attention to detail and ability to work effectively in a fast-paced environment.

This position operates on a six-day work week. Due to the nature of VIP guest arrivals, departures, and special events, flexibility is required and work schedules may be adjusted based on operational needs and guest requirements.
The successful candidate must be flexible in supporting operational requirements, including occasional adjustments to working hours and days off, when necessary to support the Executive Office and ensure exceptional guest experiences.
