Job summary

Vector Logistics Limited in East London seeks a Transport Control Administrator to coordinate route dispatch and driver debriefing in a dynamic FMCG environment. You will manage daily route allocations, issue documentation, monitor vehicle performance, and ensure compliance with company processes while maintaining accuracy and service levels.

The ideal candidate has Matric, a valid Code EB licence, 2–3 years in transport administration (SAP a plus) and strong communication, Excel, and reporting

Qualifications

• Matric, suitable education for admin/transport roles.
• Valid Code EB driver’s licence.
• 2–3 years’ experience in admin/transport environment, FMCG preferred.
• SAP experience would be an advantage.

Responsibilities

• Administer and monitor daily route allocations in the dispatch system.
• Ensure vehicles are dispatched according to the approved process.
• Provide driver documentation and equipment (keys, fuel cards, thermometers, navigation).
• Check resources and staff meet Daily Vehicle Checklist standards.
• Verify tracking tripsheet accuracy before vehicle departure.
• Monitor real-time fuel use and vehicle performance; note exceptions.
• Record route exceptions on the tracking system; liaise with Tracking On-Road Execution Agents.
• Debrief drivers on return; resolve any exceptions; collect documents and keys.
• Walk vehicles to check for damage; ensure daily checks are complete.
• Communicate and manage expectations; support team targets and objectives.

Transport Control Administrator

Vector's vehicle fleet includes a food industry first in 'multi-temperature' vehicles enabling the company to service business across frozen, chilled and ambient temperature zones on a single delivery.

Job Purpose

To mitigate company risk by executing route assignments through daily dispatching and debriefing of drivers and vehicles. Coordinate the dispatch process per route and physically debrief each route in order to support increased customer service and improve efficiencies in the business.

Key Responsibilities

Vehicle Dispatch

• Administer and monitor the uploaded system route allocations on a daily basis
• Ensure that the vehicles are dispatched according to the agreed business process
• Responsible for issuing all relevant documentation to the driver, including equipment (including but not limited to) vehicle keys, fuel cards, thermometers, and navigational tools
• Check company resources and staff meet company standards as per the Daily Vehicle Checklist form
• Ensure the Tracking tripsheet is correct as per the physical situation in terms of driver, vehicle, and other resources before the vehicle leaves the depot

Driver Debriefing

• Monitor real time fuel consumption, speeding, braking, and other driving and vehicle performance exceptions prior to vehicle returning to the depot
• Note exceptions of route in prereturn on the tracking system, e.g., door openings outside Decos.
• Liaise with Tracking on-Road Execution Agents.
• Retrieve the printed debrief document and correct daily vehicle checklist prior to the drivers' return.
• Debrief the drivers as they return
• Discuss, resolve, and record any exceptions.
• Walk the vehicles to confirm no damage or issues as per the Daily Vehicle Checklist
• Get the driver to sign the Trip sheet, debrief document, and Daily vehicle checklist
• Collect vehicle keys, fuel cards, thermometers, and navigational tools in line the agreed business process
