The Position

The Student Support: General Admin Advisor (Junior) provides entry-level support across core administrative functions related to student support processes. The role focuses on logging and tracking queries, assisting with basic documentation and registration tasks, handling inbound and outbound telephone calls, and maintaining student data under supervision. This position serves as an introduction to higher education administration within a structured, service-oriented team environment.

PRIMARY RESPONSIBILITIES

While all Advisors contribute to the overall functioning of the Engagement Hub, each level carries distinct responsibilities that reflect the scope, complexity, and accountability of the role. These primary responsibilities differentiate between the Junior, Mid, and Senior levels and illustrate the progression in expertise and independence expected at each stage.

Season Responsibilities include:
  • Take full accountability for assigned support cases and ensure daily case and call targets are achieved.
  • Handle inbound and outbound telephone calls, including redirecting calls and taking messages as required.
  • Submit daily and weekly performance and activity reports as required.
  • Provide assistance with general operational queries and manage ad hoc processes when requested by management.
  • Maintain a high student satisfaction rating, ensuring that complaints are resolved promptly and effectively (for cases and telephone calls).
2. Sales and short course administration
  • Ensure all required documentation is obtained, accurately uploaded, and updated in student records.
  • Support outbound call campaigns and maintain accurate contact and engagement logs.
SHARED ENGAGEMENT HUB ACTIVITIES AND SUPPORT

This area of responsibility spans all three levels of the General Admin and Support Administrator role. Regardless of seniority, each team member contributes to these key Hub activities from time to time. While the scope and complexity of tasks may differ, all levels are expected to assist as and when required to ensure service continuity and a consistent student experience. These activities include:

  • Provide support during key admission and registration periods by assisting with assigned tasks to ensure the timely and accurate registration of students.
  • Respond to, resolve, and/or escape student queries using Customer Service workspace in a professional manner.
  • Maintain up-to-date knowledge and understanding of relevant support processes, administrative procedures, and institutional policies.
  • Ensure strict adherence to POPIA and other applicable regulatory compliance requirements in all interactions and data handling.
QUALIFICATIONS, EXPERIENCE & SKILLS
  • Minimum: Matric / Grade 12.
  • Preferred: Higher Certificate or Diploma in Office Administration, Business, or Education (NQF Level 5).
  • 1–2 years’ experience in administration, preferably within higher education or a service environment.
  • Proficient in using MS Office and MS Teams.

  • Administrative Efficiency: Able to manage high-volume student administration tasks including registration, reporting, graduation tracking, and issue resolution.
  • Time Management: Ability to manage time effectively and work under pressure.
  • Excellent written and verbal communication skills. Strong attention to detail and high levels of accuracy. Professional and courteous communication across multiple channels (cases, email, phone, chat, in person).
  • Problem Solving: Capable of resolving queries independently and escalating as needed.
  • Service Orientation: Committed to delivering quality service; prioritises student needs and satisfaction.
  • Collaboration: Willingness to assist colleagues across departments; work well with teams such as finance, housing, assessments, and academics.
  • Empathy and Patience: Skilled at supporting distressed students and communicating clearly under pressure.
  • Cultural Sensitivity: Inclusive and respectful in interactions with South Africa’s diverse student population.
  • Flexibility: Adapts to changing priorities and can work after hours or overtime when required.
