Job summary

Boardroom Appointments in Johannesburg is seeking a seasoned Stock Management and Reconciliation Lead to oversee warehousing stock accuracy and cost control. You will ensure stock movements are accurately reflected in SAP and coordinate with regional teams to minimise losses.

The role requires a B Comm or equivalent, 5+ years warehousing experience, 3+ years in management, and strong ability to analyze stock risks and drive process improvements within SCM standards.

Responsibilities

• Ensure stock transactions are accounted for and inventory reflects physical stock.
• Reconcile customer accounts with stock delivered.
• Analyse stock management environment to identify risks.
• Recommend redesigned warehouse processes for stock management and movement.
• Manage finished goods stock inventory.
• Ensure accurate stocking movements via secondary and primary distribution.
• Support regional teams in stock management.
• Reconcile loads delivered to customers in SAP to minimise loss.
• Monitor daily variances and provide weekly reports.
• Manage proof of delivery and resolve customer queries.
• Ensure compliance with stock management standards and RACM requirements.
• Maintain TPM FIFO principles.

Job description

• A minimum of a B Comm or B. Degree in Logistics, Transport, Business Management or Finance.
• A minimum 5 years operational experience in warehousing and stock control
• A minimum of 3 years in a management role

Stock Management and reconciliation

• Ensure that all stock transactions are accounted for and the system inventory levels are reflective of physical inventory within the warehouse.
• Ensure that customer accounts are reflective of the stock that is physically delivered.
• Analyse of the stock management environment and identification of critical risk areas.
• Investigate and provide recommendations for redesigning warehouse processes specifically related to stock management and movement.
• Execute the management & control of finished goods stock inventory.
• Ensure the effective execution & accurate accounting of stock movements via secondary distribution.
• Ensure the effective execution & accurate accounting of stock movements via primary distribution.
• Support the regional teams in the management of stock.
• Reconcile all the quantity of the loads delivered to customers on SAP in order to minimize loss and wastage.

Document Management and Reporting

• Ensure the monitoring and investigations of daily variances in order to provide weekly reports.
• Managing the proof of delivery to customers and manage queries that may arise.
• Investigate customer queries and ensure timeous resolve.
• Manage and Maintain the CHEP accounts and keep records of the transactions.

Managing compliance and Quality

• Ensure that Stock Management practices are adhered to, at all times.
• Ensure the effective execution of customer claims processes & Proof of Deliver (POD) delivery requirements.
• Manage audit documentation and Sarbox procedures and ensure that these are utilised for the effective auditing and meeting RACM requirements.
• Ensure compliance to operational standards in line with SCMAT (Stock and Management Practices) and flag and communicate deviations as and when they occur.
• Maintain the effective execution of the stock management policies and procedures.
• Monitoring of key KPIs relating to stock management and control.
• Management of stock management systems and software applications to ensure effective utilization within warehouse facilities
• Execute the analysis of stock reconciliations to ensure accuracy (quality) and to identify opportunities and issues.
• Implement stock counting procedures, systems, and processes and the standardization of these across all warehouse facilities.
• Maintain quality assurance and roll out of TPM FIFO principles.

Drive Performance Improvement

• Oversee daily stock count to ensure optimal reporting.
• Structure and facilitate problem-solving using suitable resources and appropriate techniques to eliminate root cause and close loops.
• Manage gaps using a formal process to track problems and their resolution.
• Identify and prioritize performance improvement opportunities using key KPIs and appropriate analysis.
• Plan, implement and manage performance improvement projects.

People and Stakeholder Management

• Manage the team effectively in order to achieve the goals, high engagement levels, and quality work outputs.
• Manage and ensure regular engagements with team to ensure alignment and the addressing of needs and risks as they may arise.
• Maintain the knowledge and application of the PERFORM Way.
• Manage and allocate work to achieve productivity through working on opportunities to minimise waste and control fixed and variable costs.
• Align team activities to optimise processes through supporting and implementing continuous improvement opportunities and optimising process capability.
• Manage and maintain the management accountability to the Risk Manager on stock-related issues and mitigations on losses and non-compliance.
• Maintain interaction with distribution, production, external customers and sales when required.
