Job summary

Absolute Pets (Pty) Ltd. is seeking a finance professional to ensure accurate recording, reporting and analysis of financial transactions.

You will handle rental management, debtor management, voucher processing and comprehensive monthly reporting, while supporting year-end audits and cross-department finance tasks. The role requires 2–4 years in financial accounting, a degree in Financial Accounting, and strong Excel skills.

Qualifications

• 2-4 years experience in a financial accounting role.

• Strong accounting knowledge and proficiency with Excel.

Responsibilities

• Review rental schedules and supporting docs against invoices and lease agreements, processing validated info into IQ Retail.
• Perform reconciliations against the Property Lease Schedule.
• Liaise with landlords to obtain usage breakdowns and analyse utilities, investigating variances and charges.
• Prepare the monthly lease smoothing provision adjustment workbook.
• Process property rental and utilities through the accounting system, including provisions and monitoring.
• Compile turnover rent schedule, submit turnover information to landlords, reconcile turnover calculations/invoices.
• Maintain rental creditors age analysis and perform supplier statement reconciliations.
• Account for refundable deposits and guarantees, maintaining records of rent guarantees and landlord info.
• Manage debtor invoicing and reconciliations across debtors and investigate discrepancies.
• Send statements and follow up on amounts due.
• Maintain debtors age analysis (under 30 days) and reconcile to control.
• Allocate debtor payments accurately in the system.
• Compile promotional reports including invalid vouchers and discounts.
• Compile rebates received schedule.
• Submit vouchers in line with processes and deadlines, reconcile records, recover outstanding vouchers.
• Run Auto Order reports and invoicing; monthly rental and utilities reporting.
• Prepare promotional revenue reports for management accounts; invalid voucher and discount reporting.
• Support promotion cost reporting and month-end provisions.
• Assist year-end audits and provide cross-department financial support.

The successful candidate will need to ensure the accurate recording, reporting and analysis of Absolute Pets financial transactions enabling informed decision making and ensuring compliance with relevant accounting standards and regulations.

Key Responsibilities

Rental Management

• Reviewing rental schedules and supporting documentation against rental invoices and lease agreements, and processing validated information into IQ Retail
• Performing reconciliations against the Property Lease Schedule.

• Preparing the monthly lease smoothing provision adjustment workbook.
• Processing property rental and utilities through the accounting system, including utilities provisions and monitoring.
• Compiling the turnover rent schedule, submitting turnover information to landlords, reconciling landlord turnover rent calculations/invoices and investigating discrepancies.
• Maintaining and reviewing the rental creditors age analysis, performing supplier statement and control account reconciliations, and investigating and resolving reconciling items and outstanding balances.
• Accounting for refundable deposits and guarantees, including maintaining up-to-date records of Property Rental Guarantees and Landlord Information.

Debtor Management

• Managing debtor invoicing and reconciliations, including obtaining supporting documentation, processing and distributing invoices, and investigating and resolving discrepancies across promotional, marketing, training, franchise, Uber fee and DC allowance debtors.
• Sending out statements and following up on amounts due.
• Maintaining the debtors age analysis (under 30 days) and reconciling against the control account.
• Allocating debtor payments accurately within the accounting system.
• Compilation of promotional reports, including invalid voucher reporting, discount reporting, and promotional revenue reports for management accounts.
• Compiling a schedule for rebates received

Voucher Management

• Submission of vouchers in accordance with company processes and deadlines.
• Reconciliation of voucher records to ensure accuracy and completeness.
• Recovery of outstanding vouchers.

Reporting

• Auto Order reports and Auto Order invoicing.
• Monthly Rental and Utilities reporting.
• Promotional Revenue reports for management accounts.
• Invalid voucher and discount reporting.
• Promotion Schedule and expected cost reporting in support of other departments.
• Month-end processing, including provisions.
• Assisting with year-end financial audits.
• Providing financial support to other departments, including property and marketing.
• Any additional ad-hoc requests and assistance as required by the finance department.

Qualifications, personal traits and experience

• 2-4 years experience in a financial accounting role
• Degree in Financial Accounting or equivalent
• Strong accounting knowledge
• Proficient in Microsoft Suite, with focus on Excel
