Qualifications

Responsibilities

• Ensure a qualified Pharmacist is on-site during operating hours to oversee dispensing and handling.
• Schedule Pharmacists to maintain regulatory compliance and adequate coverage.
• Monitor that dispensing, counselling and related tasks are supervised by the Pharmacist.
• Provide staff training on regulatory requirements for pharmacy operations.
• In RP absence, ensure delegation of authority is signed and designations are made.
• Oversee procurement from licensed suppliers and regulatory compliance.
• Supervise proper storage of medicines and appropriate conditions.
• Assemble medicines for sale or distribution with proper handling.
• Oversee returns handling according to SOPs and proper documentation.

Job Purpose:
To ensure the safe, compliant, and effective management of pharmaceutical products and related healthcare goods across warehousing, quality assurance, and distribution operations. The Responsible Pharmacist is accountable for maintaining compliance with all applicable regulatory, legislative, and Good Distribution Practice (GDP) requirements, safeguarding product quality and integrity throughout the supply chain, and providing professional oversight to ensure the lawful procurement, storage, handling, transport, and distribution of pharmaceutical products. The role further drives continuous improvement, risk management, operational excellence, and regulatory readiness across all pharmaceutical activities.

Duties

• Ensure that a qualified Pharmacist is always present on-site during operating hours to oversee the dispensing and handling of medicines.
• Manage the scheduling of Pharmacists to ensure there is always adequate coverage, including during peak periods, to maintain regulatory compliance and ensure proper medication management.
• Monitor and ensure that all activities, such as dispensing, patient counselling, and medication-related tasks, are performed under the supervision of the Pharmacist.
• Provide support and training to staff to ensure they understand the importance of Pharmacist supervision and adhere to the legal and regulatory requirements for pharmacy operations.
• In the absence of the Responsible Pharmacist (RP), ensure that an appropriately qualified Pharmacist is designated and that a signed delegation of authority is in place.
• Oversee and manage the entire process of procurement, ensuring that medicines are sourced from licensed suppliers and in compliance with regulatory requirements.
• Supervise the proper storage of medicines, ensuring that all products are stored in appropriate conditions to maintain their quality, safety, and efficacy.
• Manage the assembly of medicines as required for sale or distribution, ensuring proper handling and packaging procedures are followed.
• Oversee the return process of medicines, ensuring that returns are handled according to SOPs, properly documented, and segregated if necessary.
• Coordinate the distribution of medicines to ensure timely and accurate delivery while maintaining compliance with legal and regulatory requirements for transportation and handling.
• Ensure full compliance with Good Wholesale and Distribution Practices (GWDP), Good Wholesale Practices (GWP), Good Distribution Practices (GDP), Good Manufacturing Practices (GMP), and Good Pharmacy Practices (GPP).
• Monitor and enforce all practices related to storage, handling, distribution, and inventory management to align with the requirements of the above standards.
• Regularly assess internal processes and systems to ensure that all activities are conducted in accordance with relevant laws and regulations.
• Provide guidance and support to staff to ensure understanding and adherence to these standards.
• Perform batch recalls and withdrawals, ensuring the proper handling and documentation of any recalled products. Conduct self-inspection audits regularly to monitor and ensure adherence to internal SOPs and regulatory compliance.
• Perform temperature mapping and validation to guarantee that storage conditions are in line with regulatory standards for temperature-sensitive products.
• Ensure the regular calibration and validation of equipment necessary for compliance with Good Wholesale and Distribution Practices (GWDP), Good Wholesale Practices (GWP), Good Distribution Practices (GDP), Good Manufacturing Practices (GMP), and Good Pharmacy Practices (GPP)

Skills and Experience

• Educational Requirements: Possession of a Bachelor of Pharmacy (B Pharm), Master of Pharmacy (M Pharm), or Doctor of Pharmacy (Pharm D) degree from an accredited institution.
• Experience: A minimum of 5-10 years of experience as a licensed pharmacist, with a strong background in pharmacy operations, including dispensing, inventory control, and compliance with legal and professional standards.
• Licensing and Registration: Must be a registered pharmacist with the South African Pharmacy Council (SAPC) or equivalent professional body. Must hold a valid and current license to practice pharmacy in the relevant jurisdiction, ensuring adherence to local regulations and professional standards.
• Professional Standing: Should be in good standing with the pharmacy regulatory authority, with no violations or disciplinary actions.
• Operational & Legal Expertise: Experience in managing pharmacy and warehouse operations is essential, including oversight of dispensing processes, inventory management, and ensuring compliance with relevant health and safety legislation.
• Pharmacy Law Knowledge: A thorough understanding of pharmacy law, including Controlled Substances regulations, record-keeping requirements, and other legal obligations in pharmacy practice.
