Job summary

Webrepublic, a leading Swiss marketing agency with a Cape Town office, seeks a Project Operations Manager to scale operations in South Africa. You will set up client projects in BCS, manage end-to-end lifecycles, and ensure accurate data and invoicing. The role requires PMO exposure, invoicing knowledge, and strong data discipline.

You will work in a dynamic, fully digital environment with a collaborative global team and hybrid work options in Cape Town.

Qualifications

• Experience in professional project management, including PMO involvement.
• Understanding of invoicing concepts: net, gross, VAT and basic billing processes.
• Ability to monitor project lifecycles and flag deviations from plans or KPI thresholds.
• Strong attention to detail and ability to manage multiple projects concurrently.

Responsibilities

• Set up and maintain client projects in the project management system to ensure accurate data.
• Manage the project lifecycle from initial setup and quotation through invoicing to closure.
• Prepare and process invoices, credits, cancellations, and related payments monitoring.
• Monitor KPIs and timelines, identify deviations, and alert stakeholders.
• Maintain high data quality and correctly structure project information and costs.
• Coordinate information with PMO, Accounting and Controlling and act as a day-to-day contact.

Over the last decade, Webrepublic has grown from an ambitious startup into Switzerland's leading marketing agency. With our Cape Town office established as part of our international setup, we are now entering the next stage of growth in South Africa. Our local team works closely with our HQ in Switzerland, and we are looking for a Project Operations Manager to help us further strengthen and scale our operations.

Key Responsibilities

• Reporting directly to the Project Operations Management Team Manager, your responsibilities will include:
• Set up and maintain client projects in our project management system BCS, ensuring accurate and complete project data
• Manage the project lifecycle from initial setup and quotation structure through invoicing to final project closure
• Prepare and process invoices, including corrections, credit notes and cancellations, and support related operational activities such as payment monitoring and dunning
• Monitor standard project KPIs and timelines, identify deviations and flag them early to the relevant stakeholders
• Maintain high data quality and ensure project information, costs and efforts are correctly structured, categorised and processed
• Coordinate project-related information with colleagues across Project Management, Accounting and Controlling and act as a reliable point of contact for day-to-day project operations questions

Qualifications And Skills

• A sound understanding of professional project management, gained through relevant practical experience, work in a Project Management Office (PMO), training or education, and experience organising project work with digital tools
• Good understanding of commercial administration and invoicing, including quotations, orders, invoices and basic billing concepts such as net, gross and VAT
• Basic understanding of the project lifecycle and project performance monitoring, with the ability to recognise and flag deviations from defined plans, processes or KPI thresholds
• Strong attention to detail and a structured, accurate way of working, with the ability to manage multiple projects and tasks in parallel
• Analytical and critical thinker who can identify issues, understand problems and work according to defined processes and guidelines
• Service-oriented and supportive team player and quick learner who feels comfortable working in a fully digital environment
