Job summary

Sabenza IT & Recruitment in Howick, South Africa seeks a Procurement & Logistics Administrator to bring organisation, accuracy and energy to a fast-moving supply chain environment. You’ll be at the centre of procurement, stock, logistics, reporting and business systems, ensuring the right products arrive on time and data informs smart decisions.

You’ll need 2+ years in procurement/logistics and data management, strong attention to detail, ERP experience, and a proactive, solution-driven mindset.

Qualifications

  • Matric/ Grade 12 is required.
  • At least 2 years' experience in procurement, logistics or supply chain administration.
  • At least 2 years' experience in business data management and analysis.
  • Excellent attention to detail and record-keeping skills.
  • Strong organisational and multitasking abilities.
  • Confident communication with suppliers, transporters and internal teams.
  • Proactive, problem-solving attitude.
  • Comfortable learning and working with ERP, inventory and business systems.
  • Experience using AI tools.

Responsibilities

  • Raise, issue and track purchase orders for raw materials, packaging and processing consumables.
  • Ensure raw materials are procured according to forecast, budget and production requirements.
  • Assist with sourcing and evaluating new suppliers.
  • Liaise with suppliers and growers regarding pricing, availability and delivery schedules.
  • Compare supplier and freight costs and identify opportunities to save money.
  • Maintain the approved supplier database and records.
  • Monitor packaging and consumable stock levels and identify upcoming shortages.
  • Keep procurement and inventory records accurate and up to date.
  • Track stock integrity, shelf life and stock variances.
  • Help ensure warehouse targets and good warehouse practices are maintained.
  • Coordinate inbound and outbound shipments.
  • Schedule transporters, freight forwarders and container bookings.
  • Track shipments and proactively communicate delays or potential problems.
  • Assist with customs clearance and cross-border logistics.
  • Keep freight costs within agreed targets.
  • Prepare and check export and shipping documentation, including Certificates of Origin and Phytosanitary certificates.
  • Maintain procurement and logistics records organised, accurate and audit-ready.
  • Ensure relevant statutory and industry reporting requirements are maintained.
  • Ensure operational, procurement, sales and financial data is accurate and available when needed.
  • Maintain and improve the CustomApp data ecosystem.
  • Ensure business information is captured correctly and stored securely.
  • Produce accurate reports for Directors and senior management.
  • Turn data into meaningful information to support faster, smarter business decisions.
  • Report monthly on material budget overs and unders.

This is more than a traditional admin role. You’ll be at thecentre of procurement, stock, logistics, reporting and business systems,helping ensure the right products arrive at the right place, at the right timeand that management has the right data to make smart decisions.

What You’ll Be Responsible For
Procurement

  • Ensuredelivery notes, goods-received notes and supplier invoices are accuratelyreconciled with Finance.
  • Identify potential cost-saving opportunitiesacross procurement and logistics.
Requirements
  • Matric/ Grade 12.
  • Atleast 2 years' experience in procurement, logistics, supply chainadministration or a similar role.
  • Atleast 2 years' experience in business data management and analysis.
  • Excellentattention to detail and record-keeping skills.
  • Strongorganisational and multitasking abilities.
  • Confidentcommunication skills when dealing with suppliers, transporters andinternal teams.
  • Aproactive, problem-solving attitude.
  • Comfortablelearning and working with ERP, inventory and business systems.
  • Experienceusing AI tools.
Advantageous:
  • Diplomaor qualification in Supply Chain, Logistics or Procurement.
  • Experiencein food processing, agriculture or export environments.
  • Knowledgeof export documentation and customs processes.
  • Experienceworking with stock/inventory management systems.
A Few More Things
  • A validdriver's licence and own transport are preferred.
  • Youshould be willing to work occasional extended hours when production orshipment deadlines require it.
  • You’llwork closely with Production, Finance, Warehouse/Stores, Sales,Directors and the General Manager, as well as external suppliers,growers, transporters, freight forwarders, customs agents and softwareproviders.
