Job summary

Omnia Holdings is seeking a Procurement Administration Support in Fourways, Gauteng to assist MOS procurement buyers with purchase agreements, documentation and ERP support. You will help ensure timely approvals, supplier engagement and accurate admin across procurement activities.

The role emphasizes processing, data accuracy and effective communication with suppliers and business users to maintain continuity of supply and compliance with procurement standards.

Qualifications

  • Matric
  • NQF Level 6 equivalent qualification – National Diploma
  • BCom advantageous
  • Excellent computer skills (ERP, Excel, Word, PowerPoint)
  • CIPS L4 advantageous

Responsibilities

  • Capture time-based purchase agreements from contracts received from category management/ business users.
  • Ensure all the necessary, approved documentation is received (work orders, timesheets, equipment, financial dimensions etc.).
  • Ensure no duplicate purchase agreements are captured.
  • Sending purchase agreements for approval (checking for errors and resolving).
  • Following up on approvals if necessary.
  • Sending approved purchase agreements to suppliers and ensuring confirmation is received.
  • Sending opened purchase agreements to Tactical Buying.
  • Sending category specialists and managers purchase agreement commitment consumption reports every week.
  • Expediting overdue orders (including sending procurement manager report and explaining delays).
  • Handling queries from suppliers, business users and finance.
  • Amending orders where required, only after ensuring changes are required.
  • Sourcing of new suppliers.
  • Supplier evaluations.
  • Getting quotes for parts and services from business user requirements.
  • Reporting all concerns to procurement manager.
  • Assisting end users with ERP support where required.
  • Managing mobile accounts with business users
  • Mobile account activations and new user requests.
  • Processing SIM card swaps and replacements.
  • Processing device upgrades and renewals for Executives in accordance with policy.
  • Managing mobile number changes, transfers and ownership changes.
  • Coordinating mobile account suspensions and reactivations.
  • Maintaining an accurate loan mobile asset and subscription register.
  • Tracking contract end dates and notifying business users of upcoming renewals for the Corporate Accounts.
  • Liaising with mobile service providers on operational queries and escalations.
  • Managing lost, stolen or damaged device administration and related provider engagements.
  • Facilitating international roaming and international calling requests in line with approval requirements.
  • General admin.
  • Improvement initiatives and projects with efficiency and effectiveness as the goal.

ROLE IMPACT

Support the buyers in the purchase of goods, materials, and services to ensure that the companies operational needs are met, taking into account price, quality and delivery and to ensure continuity of supply.

Qualifications

MINIMUM REQUIREMENTS


  • Matric

  • NQF Level 6 equivalent qualification – National Diploma

  • BCom advantageous

  • Excellent computer skills (ERP, Excel, Word, PowerPoint)

  • CIPS L4 advantageous


Experience


  • 3 years or more in a buyer's assistant/administrative position in a manufacturing maintenance environment
