Job summary

Omnia Holdings in Sasolburg is seeking a dedicated Administrator (Training) to provide comprehensive administrative and coordination support for all Training and Development activities within the Technical Training Centre. Responsibilities

  • Maintain training records on LMS, SharePoint, Payspace.
  • Coordinate training needs and delivery aligned with objectives.
  • Follow up with participants to ensure training completion.
  • Arrange venues, bookings and participant communications for training events.
  • Support audits and compliance with HR and training laws and legislation.
  • Prepare monthly training reports and data to support decision-making.
  • Assist with Training Centre projects, HR initiatives and continuous improvement activities.

ADMINISTRATOR (TRAINING)

ROLE IMPACT

To provide comprehensive administrative and coordination support for all Training and Development activities within the Technical Training Centre, ensuring the effective planning, delivery, monitoring, reporting, and compliance of learning interventions that enhance employee capability, support organisational development, and contribute to improved business performance.

Key Responsibilities
  • Keeping data and records of training and development of employees on SharePoint, Payspace and LMS.
  • Provide administrative support for identifying, coordinating, and addressing employee training and organizational development needs, ensuring the effective implementation of learning and development initiatives aligned with business objectives and competency requirements.
  • Conduct ongoing follow-up with training participants to ensure completion of training requirements and achievement of learning objectives.
  • Coordinate and manage all logistical and administrative requirements to ensure the successful delivery of training courses, workshops, training plans and development events.
  • Coordinate training interventions and ensure all related documentation, records, and stakeholder communications are maintained accurately.
  • Coordinate and administer training schedules, venue bookings, and participant communications to ensure the seamless delivery of all internal and external training events .
  • Support compliance with Training, Human Resources, Labour Law, and Skills Development legislation, including Workplace Skills Plan (WSP), Annual Training Report (ATR) and Employment Equity (EE) requirements.
  • Coordinate and administer learner feedback and third-party service provider evaluation surveys using Microsoft Forms, ensuring accurate data capture, reporting, and record management.
  • Provide administrative support during internal and external audit processes, ensuring accurate documentation, record maintenance, and compliance with relevant standards and legislative requirements.
  • Prepare, analyse, and distribute monthly training reports, statistical data, and management information to support decision-making, monitor training effectiveness, and ensure compliance with organisational and legislative requirements
  • Ensure the integrity, accuracy, and maintenance of HR and Learning Management System (LMS) records, documentation, and reports.
  • Maintain document control and data management within the Matrix Learning Management System.
  • Provide administrative support for Technical Training Centre projects, HR initiatives, and continuous improvement activities.
  • Coordinate meeting arrangements, prepare agendas, and record accurate minutes of meetings.
  • Create and process Purchase Orders, Stores Requisitions, and related procurement documentation in accordance with company procedures.
  • Support the administration, monitoring, and reporting of training budgets, ensuring effective cost control and adherence to approved budget allocations.
  • Coordinate building and facility maintenance activities for the Technical Training Centre to ensure a safe and effective learning environment.
  • Maintain accurate training records, certificates, attendance registers, and employee development documentation.
  • Ensure training processes are effectively administered, compliant with relevant requirements, and aligned with organisational and employee development objectives.
Qualifications
MINIMUM REQUIREMENTS
  • Matric
  • Bachelor's Degree/National Diploma or Diploma in Human Resources Management, Human Resource Development or Business Management
Experience
  • At least 2 years' relevant applied experience in a similar role within the Manufacturing industry
  • Proficient in Learning Management Systems (LMS) and Microsoft Office Suite, with advanced Excel skills for data analysis, reporting, and record management.
  • Strong administrative, organisational, reporting, and stakeholder coordination skills
  • An understanding of Training and Development concepts, methodologies, and compliance requirements would be an added advantage.
