Job summary

Klipboard is seeking a hands-on data and systems role to maintain day-to-day configuration and data integrity of contracting and subscription management. You will work across Clientshape, Chargebee and HubSpot, ensuring data flows from quote to invoice and that licensing remains accurate.

Responsibilities

• Maintain configuration, workflows, and reference data for contracting/subscription management.
• Ensure data accuracy across contract, subscription, pricing, billing, company and contact data.
• Manage integrations and data flows between Clientshape, Chargebee, HubSpot and finance systems.
• Administer subscription lifecycle activities: contracts, upgrades, downgrades, renewals and cancellations.
• Manage product catalogs, pricing structures, billing rules, and subscription plans.
• Investigate and resolve data, billing, integration, and system issues through RCA.
• Perform routine data validation, reconciliation, and housekeeping for reporting.
• Support Finance with billing cycles, month-end reconciliations and reporting.
• Administer user accounts, access controls, roles, and permissions.
• Provide first- and second-line support for quoting, contracting, subscription, and billing queries.
• Develop and maintain user guides, onboarding materials, and SOPs.
• Monitor system performance, integration health, and data integrity.
• Implement changes through testing, deployment and change management.
• Support audits and governance with proper records and audit trails.
• Ensure customer data is managed per information security and compliance requirements.
• Collaborate with Finance, Commercial, Customer Experience and external vendors.
• Identify opportunities to improve system performance and data quality.
• Support additional cross-functional initiatives as required.

A hands-on systems and data role responsible for the day-to-day maintenance, configuration and data integrity of Skynamo's end-to-end contracting and subscription management process. Working across Clientshape, Chargebee and HubSpot, you keep contract, subscription, renewal and billing data flowing accurately and reliably from quote through to invoice.

This is a maintenance and execution role. The substantial majority of the work is ongoing operation, upkeep and troubleshooting of the existing toolset and the data inside it, supporting the established business process and making the configuration adjustments new commercial requirements call for. Process redesign, major systems architecture change and large-scale data migration sit outside the role, though you support and feed into them when they arise.

Key Responsibilities:

• Maintain the configuration, workflows, and reference data within the contracting and subscription management toolset, ensuring alignment with established business processes.
• Ensure the accuracy, completeness, and integrity of contract, subscription, pricing, billing, company, and contact data across all connected systems.
• Manage integrations and data flows between Clientshape, Chargebee, HubSpot and finance systems, working with third-party vendors to maintain data consistency and system reliability.
• Administer subscription lifecycle activities, including new contracts, upgrades, downgrades, renewals, and cancellations, ensuring processes and automations function correctly.
• Manage product catalogues, pricing structures, billing rules, and subscription plans in accordance with commercial and finance requirements.
• Investigate, troubleshoot, and resolve data, billing, integration, and system issues through structured root-cause analysis and corrective actions.
• Perform routine data validation, reconciliation, and housekeeping activities to maintain data quality and support accurate reporting.
• Support Finance teams with billing cycles, month-end processes, reconciliations, and reporting by ensuring subscription and billing data is accurate and complete.
• Administer user accounts, access controls, roles, and permissions across the platform ecosystem in line with security and governance standards.
• Provide first- and second-line support for quoting, contracting, subscription, and billing-related queries, delivering timely and effective resolutions.
• Develop and maintain user guides, onboarding materials, process documentation, data mappings, and standard operating procedures.
• Monitor system performance, integration health, and data integrity, proactively identifying and addressing risks before they impact billing or reporting processes.
• Implement approved system and process changes through controlled testing, deployment, and change management procedures.
• Support audits, compliance reviews, and governance requirements by maintaining accurate records, audit trails, and documentation.
• Ensure customer and business data is managed in accordance with information security, data protection, and compliance requirements.
• Collaborate closely with Finance, Commercial, Customer Experience, and external software vendors to support business operations and continuous improvement initiatives.
• Identify opportunities to improve system performance, data quality, operational efficiency, and user experience, making recommendations for enhancements where appropriate.
• Support additional customer platform, commercial operations, and cross-functional initiatives as required by business needs.

Skills, Knowledge and Experience:

• A minimum of two years' experience working with commercial and/or subscription management processes.
• Hands-on experience administering or configuring subscription management and billing tools — ideally Chargebee, HubSpot or similar CRM, billing and subscription platforms.
• Working understanding of data structures, data flows and relational data, with the ability to trace and reconcile data across connected systems.
• Reasonable understanding of software contracting and subscription models, including plans, pricing, billing cycles, renewals and basic revenue concepts.
• Experience maintaining system integrations and understanding how data moves between CRM, ERP, billing and finance systems.
• Strong attention to detail and a methodical, data-quality-focused approach to configuration, testing and troubleshooting.
• Clear documentation skills and the ability to work independently on day-to-day tasks while knowing when to elevate.

Preferred Qualifications and Experience

• Exposure to SQL, APIs or reporting tools.
• Experience in a SaaS or subscription business.
• Experience working with third-party software vendors on integration or configuration change.
• Experience supporting finance month-end, billing runs or revenue reporting.
