Job summary

Visit.org is seeking an experienced Freelance Event Specialist for on-site, per-event logistics in Santon, South Africa. The role focuses on coordinating event details, staffing, and delivering a high-quality on-site guest experience at various venues.

Responsibilities

• Coordinate all event details, shipping materials, and staffing; be on-site as the day-of hands-on coordinator.
• Join virtual planning meetings ahead of each event with corporate partner, nonprofit partner, and Visit.org hosts.
• Take ownership of in-person events: set up, align with onsite team, tear down, and ensure high-quality customer experience.
• Represent, lead, and problem-solve on-site for Visit.org events.
• Manage onsite roles with host, nonprofit, venue, staff, and corporate partner.
• Oversee check-in and warmly welcome guests.
• Address issues such as missing supplies or tech challenges; escalate to Events Team when needed.
• Send updates, photos, and videos to Events Team during events.
• Breakdown after events and return materials to distribution center; pack supplies and prepare shipping labels.
