Job summary

Black Pen Recruitment has partnered with a fintech to hire an Onboarding Agent in Cape Town. You will guide new merchants through the payment gateway onboarding process, verify business information, complete due diligence checks and maintain records for approval and integration.

Qualifications

• Grade 12 / NSC or equivalent.
• Diploma in Business Administration, Banking, Financial Services or related field or equivalent experience.
• 1–2 years' experience in merchant onboarding, KYC/KYB, FICA or compliance administration.
• Intermediate Excel skills and experience with checklists and electronic records.

Responsibilities

• Manage onboarding applications from Commercial handover and verify completeness.
• Check documents, follow up on outstanding information and approvals.
• Verify business registration, addresses, activities and licences and directors' authority.
• Identify and verify ultimate beneficial owners and ownership structures.
• Complete sanctions, PEP and adverse media screening and refer findings to Risk and Compliance.
• Prepare due diligence packs and confirm approval conditions before handover to Integration.
• Capture verified business and banking information and submit for verification.
• Keep merchants and internal teams informed and provide Back Office training.
• Coordinate handovers to Integration and Customer Support, maintaining data quality.

Role Overview

Our client is seeking a detail-oriented Onboarding Agent to guide new merchants through its payment gateway onboarding process. You will verify business information, complete due diligence checks and maintain accurate records so that applications are ready for approval and integration.

This role combines merchant communication, document verification and compliance administration. You will keep applications moving, provide Back Office training and refer risk, compliance and specialist decisions to the appropriate teams.

Requirements

• Grade 12 / National Senior Certificate or an equivalent NQF Level 4 qualification.
• A relevant diploma in Business Administration, Banking, Financial Services or a related field, or equivalent relevant experience in merchant onboarding or customer due diligence.
• 1-2 years' experience in merchant or client onboarding, KYC/KYB or FICA administration, compliance administration, or a banking, financial services or payments back office.
• Intermediate Microsoft Excel skills and experience using structured checklists and electronic records.

Knowledge and experience that would be advantageous

• A relevant NQF Level 5 or 6 qualification in business administration, finance, compliance, risk management or law.
• Training in FICA, anti-money laundering, customer due diligence, KYC/KYB, sanctions screening or POPIA.
• Experience in a fintech, payment service provider, acquiring bank or bank merchant services team.
• Experience verifying beneficial ownership, using screening tools or onboarding businesses requiring licences or regulatory authorisation.
• Knowledge of Merchant Category Codes (MCCs), payment methods and merchant onboarding systems.

You should be comfortable managing several applications, following up persistently and raising concerns early. Sound judgement, confidentiality and the ability to maintain required checks under pressure are essential.

Key responsibilities

• Manage onboarding applications from Commercial handover, check document completeness and follow up on outstanding information.
• Verify business registration, addresses, activities and applicable licences, together with the identity and authority of directors and representatives.
• Identify and verify ultimate beneficial owners, including those within complex ownership structures.
• Complete sanctions, politically exposed person and adverse media screening, record supporting evidence and refer findings to Risk and Compliance.
• Prepare complete due diligence packs for approval and confirm that approval conditions are met before handover to Integration.
• Capture verified business, contact and banking information, and submit banking details for independent verification.
• Keep merchants and internal teams informed of progress, provide Back Office training and coordinate complete handovers to Integration and Customer Support.
• Protect personal and merchant information, maintain accurate records and help improve onboarding checklists, guidance and processes.
