ABOUT THIS ROLE
Are you an experienced Leasing Administrator with a strong understanding of commercial property leasing and excellent attention to detail?
Our client is looking for a highly organised and detail-oriented Leasing Administrator to provide comprehensive administrative support throughout the leasing process across their property portfolio.
This role will be responsible for ensuring that lease agreements and related documentation are accurately prepared, processed, concluded, and captured within the required timeframes, while providing essential support to Property Managers and coordinating with tenants and other stakeholders.
WHAT YOU WILL DO
- Conduct credit bureau (ITC) checks and manage FICA documentation
- Process tenant applications in accordance with company requirements
- Compile information required for Lease Authorisation Forms and facilitate their preparation, approval, and signing
- Draft, generate, and issue lease agreements, addendums, cessions, renewals, and related leasing documentation
- Draft correspondence relating to leasing matters and coordinate the execution and signing of lease documents
- Draft and facilitate the signing of resolutions relating to lease transactions and property-related matters
- Ensure all lease documentation is accurately completed, signed, and filed within prescribed timelines
- Provide administrative support to Property Managers throughout the leasing process
- Assist with preparing proposals and compiling tenant information
- Prepare and collate documentation required for leasing transactions and portfolio management
- Facilitate communication between tenants, Property Managers, management, legal representatives, and other stakeholders
- Coordinate lease signing arrangements and ensure all supporting documentation is available and correctly executed
- Respond professionally and efficiently to tenant enquiries, requests, and concerns
- Draft tenant correspondence and letters as required
- Maintain accurate and up-to-date lease records and supporting documentation
- Manage the filing, safekeeping, and retrieval of original lease agreements, bank guarantees, tenant information, resolutions, and correspondence
- Ensure leasing information is accurately captured and maintained on the property management system
- Update and maintain monthly portfolio schedules and reports
- Ensure lease details, rental information, commission schedules, administrative fees, and related portfolio information are accurately recorded and updated
- Assist with compiling leasing information for management reporting
WHAT WE ARE LOOKING FOR
- Matric / Grade 12
- A tertiary qualification in Property Studies, Business Administration, or a related field will be advantageous
- Minimum 5 years’ experience in lease administration, property administration, or property management
- Proficiency in MDA Property Management Software
- Advanced proficiency in Microsoft Office
- Sound understanding of lease agreements, legal terminology, and commercial property leasing principles
- Basic understanding of credit bureau checks and tenant assessment processes
- Knowledge of administrative and document management processes
- Working knowledge of financial administration principles and document tracking systems
- Excellent written and verbal communication skills
- Strong organisational, planning, and coordination abilities
- Exceptional attention to detail and accuracy
- Strong time management skills and a deadline-driven approach
- Ability to manage multiple priorities and work effectively under pressure
- Strong interpersonal and stakeholder management skills
