- Build rapport with prospective clients, listen to their concerns, understand their needs, and provide a welcoming and professional first impression.
- Gather, qualify, and accurately document intake information for Real Estate Law, Probate, and Estate Planning matters.
- Proactively follow up with prospective clients, answer questions, address objections, and encourage them to schedule consultations or retain the firm.
- Manage the firm's lead pipeline, ensuring every inquiry receives timely communication and consistent follow-up.
- Coordinate attorney consultations while managing client scheduling needs and attorney availability.
- Prepare prospective clients for consultations by explaining next steps, requesting documents, and confirming appointment details.
- Maintain accurate client information, communication records, and follow-up activities in the firm's CRM and case management systems.
- Assist with electronic document collection, signatures, and other client onboarding activities.
- Support client feedback collection and Google review follow-ups as assigned.
- Monitor intake activity, lead conversions, and follow-up effectiveness while identifying opportunities to improve the client experience and intake process.
Required Skills and Experience
- Prior professional sales experience, including lead follow-up, objection handling, relationship building, and client conversion.
- Prior professional experience supporting all three legal practice areas: Real Estate Law, Probate, and Estate Planning.
- Excellent spoken and written English, with strong communication skills for professional phone, email, and text conversations.
- Strong interpersonal skills, active listening, and the ability to build trust with prospective clients.
- A consultative sales approach, with the confidence to guide qualified prospects toward making decisions without being overly aggressive.
- Strong organizational and time management skills, including the ability to manage multiple client conversations, appointments, and follow-up tasks.
- Ability to maintain accurate records and work effectively with CRM systems, case management software, and digital communication tools.
- Strong attention to detail and the ability to handle sensitive client information with discretion and professionalism.
- Proactive, dependable, and comfortable taking ownership of tasks and following through without constant supervision.
- Ability to remain composed and empathetic when handling emotional conversations, changing priorities, or multiple client inquiries.
Schedule and Benefits
- Full-time remote opportunity based in South Africa.
- Monday through Friday, 8:00 AM to 4:30 PM Central Time.
- Supportive work environment with opportunities for long-term professional growth.
