Responsibilities
Operational
- Manage the production of the printing business. This involves, but is not limited to, monitoring of staff, production processes, packing, machinery usage, wastage and raw material usage.
- Ensuring production deadlines are met to ensure that distribution can be completed timeously. This would include ensuring that raw material (ink, paper, spare machine parts etc.) is delivered on time, machines are functioning effectively, back up plans are in place, adequately resourced factory, regular generator testing, regular machine testing and effective packing process is in place.
- Ensure warehouse is secure at the end of a shift.
- Ordering of equipment and stock items as and when the need arises.
- Reviewing and approving final invoices for payment.
- Review and approve bio time reports, meal allowances etc for factory staff.
- Creation of all purchase orders and approve within your authoritative limit.
- Supplier relationship management, negotiation of favorable supplier terms and fair pricing.
- Manage the payments, storage and administration around petty cash for Winning Media.
- Carry out a weekly assessment of all printing and publications machinery at the factory and conduct the repairs.
- Assist with transportation of factory staff and travel to outsourced printing agencies for publications.
- Engage potential suppliers for machine parts and consumables and negotiating of the best prices.
- Implementation and diligent use of a standard costing system.
- Review and analysis of standard costing reports to manage the extent of wastage and excessive costs.
- Continuous monitoring of production costs, other costs and wastage levels.
- Execution of regular tenders for key raw materials to ensure best pricing, best quality and reliability. Ensure that a backup supplier is maintained.
- Be innovative with shifts, plant capacity, timing of prints runs as the business evolves into growing its external revenue streams.
- Ensure accurate counting of print runs, raw materials, and dispatch books.
- Ensure accurate packing of routes.
- Ensure accurate reconciliations and completions of necessary production schedules.
People
- Management of the production team in terms of time and attendance, leave, remuneration, disciplinary actions, performance reviews, rostering, shifts and other related resource management functions.
- Assist with the creation and maintenance of roles and job descriptions and KPIs for your direct report subordinates.
- Enforcing ethical, honest, transparent, fair work environment.
- Sourcing of training as and when needed for staff.
- Adequate recognition of staff efforts.
- Sustainable morale and team building.
- Assist HR with recruitment and related interviews.
- Recruitment and related interviews.
- Induction and comfort or new team members.
- Appropriate and fair leave planning, less than 30 days.
- Monitoring of sick leave.
- Approval of leave, bio time, phone usage.
- Implementation of HR initiatives.
- Monitoring of employee productivity and smoke breaks.
- Approving and monitoring of overtime, meal allowances etc.
Compliance, risk and quality
- Creating, maintaining and enforcing company policies and procedures.
- Quarterly updating of risk assessments.
- Ensure high quality printing and packing of printed publications.
- Maintenance of department process write-ups/ system descriptions and quarterly updating.
- Ensure logical saving of all work, templates, etc. monthly and yearly such that each year’s financial records can stand on its own when enquiries/ investigations/audits take place.
- Produce high quality, neat, logical, succinct, easy to follow, easy to understand, formula linked work/templates/workbooks/financial models - of which is substantiated by facts with no numbers in the formulas.
- Ensure the above (final version) and other documents are chronologically saved/backed up.
- Effectively deal with internal, external, SARS and BEE auditors.
- 100% compliance with health and safety regulations.
- Safe-guarding of company assets and company stock (raw materials and finished goods).
- Accurate creation of fixtures that are printed.
Growth and new markets/products
- Ensure measures are put in place and steps are taken to achieve the short term, medium term and long term goals.
- Timeous assistance with new printing projects as and when these become due.
- Stay abreast with new printing technology.
- Source external printing orders to increase print volume and thereby grow the revenue line.
- Source new business and new service offerings.
- Development of existing business and service offerings.
