- Employment type: Full-time | Fixed-term maternity cover (9–12 months)
- Working hours: 40 hours per week, aligned with UK business hours
Start date: 23 November 2026 (preferred)
About the Opportunity
We are recruiting on behalf of a UK-based education provider that delivers personalised tutoring and educational support to children and young people, including those with special educational needs.
We are looking for a friendly, highly organised and detail-oriented Client Services & Accounts Coordinator to join their team on an initial maternity cover contract.
This is a varied, hands‑on role combining accounts administration, client onboarding, customer enquiries and general operational support. You'll work closely with an established UK-based team, helping to ensure that clients receive excellent service and that day‑to‑day processes run smoothly.
The ideal candidate will enjoy working with people, have a good head for numbers and be comfortable juggling different responsibilities. This is not a traditional sales or account management role, but rather a combination of customer service, finance administration and operational coordination.
Key Responsibilities
Accounts, Invoicing & Administration
- Manage the shared accounts inbox, respond to billing enquiries and prepare credit requests.
- Maintain debtor reports, follow up on outstanding payments and **escalate** unresolved matters when necessary.
- Record and reconcile bank and Direct Debit payments, ensuring client accounts and balances remain accurate.
- Assist with monthly invoicing, payment tracking, purchase orders and invoice submissions.
- Run daily quality assurance checks, investigate discrepancies and **escalate** any issues identified.
Client Onboarding & Coordination
- Prepare and send client communications, including service proposals, pricing information and follow‑ups.
- Issue registration invoices, monitor payments and coordinate the next steps in the onboarding process.
- Arrange introductions between clients and service providers, ensuring a smooth transition into service delivery.
- Maintain accurate client records, pricing information and internal tracking systems.
- Liaise with different team members to ensure an efficient and positive client experience.
Customer Enquiries & General Support
- Respond to incoming telephone calls, emails and live‑chat enquiries in a friendly and professional manner.
- Assist with general questions, capture relevant information and direct more complex enquiries to the appropriate team members.
- Provide occasional cover for colleagues when required.
- Maintain accurate Excel reports, client records and operational documentation.
- Provide general administrative and operational support as business needs evolve.
What We're Looking For
Essential Requirements
- Previous experience in client services, accounts administration, billing, accounts receivable or operational support.
- Excellent written and spoken English, with a warm, confident and professional communication style.
- Strong interpersonal skills, with the ability to build rapport and communicate with empathy and tact.
- Excellent attention to detail, particularly when working with financial information and client records.
- Strong Excel and Microsoft 365 skills, including experience working with spreadsheets, formulas, filters and reports.
- Good organisational skills, with the ability to prioritise tasks, manage deadlines and work independently.
- A proactive, reliable approach and willingness to take ownership of responsibilities.
- Professional discretion when handling confidential or sensitive information.
Advantageous
- Experience with Xero, TutorCruncher or similar finance and client management systems.
- Familiarity with invoicing platforms, Direct Debit payments and accounts receivable processes.
- Experience using CRM systems, shared inboxes, live‑chat platforms and Slack.
- Previous experience supporting UK-based clients or working within the education or professional services sector.
Working Arrangements
- Fully remote position, based in Cape Town.
- Full-time working hours aligned with the UK, including availability for telephone and live‑chat support.
- Initial fixed‑term contract of approximately 9–12 months to provide maternity leave cover.
- Opportunity for in‑person onboarding and training in Cape Town during the initial months.
- Potential for the contract to be extended or develop into a longer‑term opportunity, depending on business requirements.
