Job summary

Recruitd seeks an Administrator to own the operational backbone of a capital raise, working directly with the CFO on execution. The role coordinates investors, distributors, and compliance workflows, blending back-office processing with client-facing coordination and significant growth potential.

You will support day-to-day raise execution, onboarding, AML/KYC checks, and investor documentation while maintaining audit-ready records and robust cross-functional collaboration.

Qualifications

• 4+ years back office, fund administration, or investor operations in financial services.
• Excellent telephone manner and client-facing confidence, including with high-net-worth investors and intermediaries.
• Strong organisational and coordination skills; able to hold many threads at once without dropping detail.
• Proficiency in Excel.
• Comfortable with CRM and document management systems.
• Clear, professional written communication.
• Working knowledge of AML/KYC onboarding (advantageous).
• Familiarity with distributor and IFA channel operations (advantageous).
• Experience supporting a senior executive (advantageous).

Responsibilities

• Raise execution and coordination with the CFO and Business Development Team on day-to-day execution of the raise; surface issues before urgency.
• Track workflow across investors, distributors, and advisors; maintain master status view.
• Coordinate diaries and deadlines across CFO, distribution partners, and counterparties.
• Process subscriptions and onboarding documentation from receipt to execution.
• Run AML/KYC verification on investors and connected parties; elevate exceptions.
• Maintain audit-ready investor files and an accurate investor register.
• Act as first point of contact for investor and distributor queries; handle calls and written queries professionally.
• Set up and coordinate meetings between distributors and IFAs; manage invitations and scheduling.
• Chase incomplete applications through to close-out.
• Support clients in assembling tax documentation (administrative only).
• Distribute statements, confirmations, and tax certificates.
• Apply onboarding checklist and control framework to every file.
• Maintain records to regulatory standards and support audit requests.
• Keep document version control across subscription packs and templates.
